Overview

Are you an experienced Personal Assistant with a knack for organisation and communication? Do you thrive in a dynamic environment where your proactive approach and dedication can shine? Join us at Gallagher, a global leader in insurance brokerage, as we seek an Executive Assistant to provide critical support to our Regional Managing Director (RMD) on a 12 month Fixed Term Contract.

How you'll make an impact

As an Personal Assistant, you will play a pivotal role in ensuring the smooth operation of the RMD's day-to-day activities. Your responsibilities will include:

  • Calendar Management:Organise and manage the RMD’s schedule, set up meetings, and ensure all appointments are effectively communicated.
  • Correspondence Handling:Draft and edit emails, letters, meeting packs, and other documents on behalf of the RMD.
  • Travel Coordination:Arrange travel accommodations, including flights, hotels, and transportation for the RMD and team members as needed.
  • Meeting and Event Organisation:Coordinate logistics such as booking meeting rooms, arranging catering, and preparing materials. Take meeting minutes and follow up on action items.
  • Document and Record Management:Maintain important documents and reports, and assist with preparing presentations and reports.
  • Research:Conduct research on various topics, including market trends, competitors, and industry regulations.
  • Confidentiality Maintenance:Handle sensitive information with discretion and maintain confidentiality at all times.

About You

Your Skills, Experience, and Qualifications:

  • Proven experience in providing executive-level support.
  • Experience within the insurance industry is beneficial.
  • Ability to work autonomously and manage multiple tasks.
  • Excellent interpersonal and social skills, with the ability to operate with diplomacy, tact, and empathy.
  • Strong problem-solving skills and outstanding communication abilities at all levels.
  • Confidence in managing complex and highly confidential information.
  • High proficiency in all MS Office packages, with a strong focus on diary management and Outlook 2010 onwards.
  • Eligibility to work in the UK.
