Overview

A successful technology entrepreneur is seeking a proactive, organised and diligent executive assistant to support the principal and his family in both professional and personal matters.

Your role would be to manage travel arrangements, diary scheduling and car bookings, and to oversee office and household administration as needed to ensure the smooth running of the family’s daily life as well as the principal’s business life.

The principal holds his own work to an extremely high standard and looks for the same from each person on his team. He and other members of the team will support and guide you in what needs to be done, but an extremely attentive, flexible and empathic attitude is required at all times.

The principal values accountability, flexibility (his time has a premium, so a willingness to adapt your schedule to his is sometimes needed), and initiative.

The principal values a work-life balance himself and wants the same for everyone on his team but also knows that sometimes things just need to get done and that speed of capitalising on opportunities can make all the difference between success and failure.

You will report directly to the operations director (who is the principal’s right-hand person) and liaise with other staff and suppliers as needed. There may also be some liaison with the principal’s family.

Duties included but not limited to:
  • Travel planning, including researching options, drafting itineraries, booking flights, managing flight changes etc
  • Managing schedules, booking, and confirming business meetings ahead of time.
  • Organising personal diaries, such as doctors’ appointments and dinner reservations.
  • Handling communications with impeccable attention to punctuation, spelling and detail
  • Anticipate last minute schedule changes and confidently manage disrupted plans, ensuring seamless adjustments and minimal impact to the overall itinerary
  • Running errands to ensure smooth household operations
  • Office management including booking meeting rooms, managing and maintaining an organised office space
Benefits
  • Potential performance-based salary growth
  • Possible future travel opportunities upon proven success in the role
Key criteria
  • Strong attention to detail, especially in written communication
  • Excellent at prioritising task, willing to go above and beyond in high pressure situations
  • Completely comfortable working independently
  • Ability to handle confidential information with discretion, professionalism, and willingness to commit long term.
