Job description

An excellent opportunity has arisen for an experienced Private Client Legal Secretaryto join my clients team in their Otley, West Yorkshire offices.

This role is working within the Private Client department which consists of two full‑time and two part‑time private client solicitors. The right candidate will work alongside two legal secretaries / assistants, with a department of seven.

Main Duties
  • Typing from digital dictation, quickly and accurately and prioritising where required.
  • Composing and producing routine correspondence and documents using the firm’s Case Management System (LEAP) and assisting in ongoing developments of that system.
  • Making appointments for clients, maintaining the fee earner’s diary, and generally keeping the fee earners organised.
  • Taking enquiries from clients and others, dealing with routine enquiries and taking messages.
  • Keeping the fee earner’s filing system in order.
  • Opening new files and matters and keeping details of the fee earner’s files on the database up to date.
  • Archiving and storage of files and Wills on completion of matters.
  • Corresponding and calling the Probate registry.
  • Assisting with the workload of others in the Wills & Probate team, where time allows and / or priorities and / or holiday periods require.
  • Assisting in turn with everyday office routines, including post, coffee / tea making, and similar.
Essential Skills & Experience
  • Computer and secretarial skills to high levels of speed and accuracy
  • Ability to take initiatives and responsibility under the Fee Earners authority, and to communicate with clients directly.
  • Case Management with O365 and Excel experience required.
  • In‑built sense of responsibility and initiative
  • To be flexible and responsive to the pressure of work
  • Previous legal experience in Private Client (Wills, Trust & Probate)
