Job summary

EQUANS is seeking a HR Data Administrator in Newcastle upon Tyne to join our Shared Services team on a permanent basis. The role focuses on maintaining the HRIS (SAP) master data, supporting reporting, and ensuring high data quality across the organisation.

You will engage with stakeholders to deliver accurate, timely data while supporting improvements and automation initiatives. The position involves 37.5 hours per week in a modern office at Quorum Business Park, with a comprehensive benefits

Qualifications

• Experience working with HRIS systems, especially SAP, and/or Time & Attendance or Payroll platforms.
• Advanced Microsoft Excel skills.
• Administrative experience in HR or shared services environments.
• Knowledge of GDPR and data privacy practices.
• Good technical knowledge of databases and query languages.

Responsibilities

• Monitor and maintain the organisation hierarchy in HRIS systems, ensuring alignment with current structure.
• Ensure audit controls align with company integrity standards.
• Report from SAP using Query Manager or Ad-Hoc Reporter; train others and coordinate patches.
• Utilise Winshuttle to build scripts for bulk data upload, loading and verification.
• Coordinate authorisations to ensure appropriate access inside data protection rules.
• Work with Business Change to keep contract mobilisations/demobilisations updated in HRIS.
• Process and coordinate Annual Leave and Annual Salary Review uploads.
• Handle National Minimum Wage uplifts.
• Coordinate monthly and annual MI for informed decision making.
• Explore digitisation, automation and improvements to current processes.
