Job summary

A prominent art logistics firm based in Greater London is seeking a Registrar to oversee the shipping of artworks. The successful candidate will handle inbound and outbound logistics, manage customs paperwork, and maintain inventory accuracy. A solid background in fine art logistics is crucial, along with exceptional organizational and communication skills. This role demands attention to detail and the ability to multitask effectively in a client-facing environment.

Qualifications

  • Proven experience in a similar role within a gallery, auction house, or fine art shipping/logistics company.
  • Strong knowledge of fine art shipping procedures, documentation, and regulatory processes.
  • Confident working with inventory management systems and databases.

Responsibilities

  • Coordinate all inbound and outbound shipping of artworks, both domestically and internationally.
  • Manage all administrative processes related to shipping.
  • Oversee customs and export/import paperwork.
  • Act as the primary contact for shipping and logistics.
  • Maintain and update the gallery’s inventory database.
  • Provide support across invoicing, insurance, and compliance.

Alchemy is delighted to be partnering with a well-established London gallery to recruit a Registrar. This is an excellent opportunity for a highly organised professional with experience in fine art logistics, shipping, or registration, who thrives in a detail-driven and client-facing environment.

Key Responsibilities
  • Coordinate all inbound and outbound shipping of artworks, both domestically and internationally
  • Manage all associated administrative processes, ensuring the correct licences, permits, and documentation are in place
  • Oversee customs and export/import paperwork, liaising with agents and shippers as required
  • Act as the primary point of contact for all matters relating to shipping, logistics, and storage of artworks
  • Maintain and update the gallery’s inventory database, ensuring accurate and up-to-date records of all works
  • Provide administrative support across invoicing, insurance, and AML compliance
  • Assist with additional administrative and operational tasks as required
Key Requirements
  • Proven experience in a similar role within a gallery, auction house, or fine art shipping/logistics company
  • Strong knowledge of fine art shipping procedures, documentation, codes, and regulatory processes
  • Excellent communication skills with a high level of client service
  • Exceptionally organised with strong attention to detail and the ability to manage multiple priorities
  • Confident working with inventory management systems and databases
  • Art handling experience is advantageous but not essential
