Job description

Fleet Services Administrative Officer

An opportunity has arisen for a highly motivated and adaptable individual to provide effective, efficient, responsive, and high-quality administrative assistance to the Fleet Services department.

Working in a frontline service area requires individuals to be comfortable undertaking duties in what is an intense, demanding, yet highly rewarding working environment. As such you will be required to perform well under pressure, be well organised, used to using computerised databases and possess excellent customer service skills.

You will be based in the Fleet Office and your duties and main functions will include assisting with and supporting the following day-to-day fleet administrative functions:

  1. To be the first point of contact for all Fleet Services enquiries, ensuring that they are logged and resolved professionally and efficiently.
  2. To ensure that all records on vehicles are kept up-to-date, including vehicle acquisition and disposal, mileage, fuel usage, road fund licence renewal, inspection records, Operator Licence issues, insurance details, hired vehicles, driving offences and MOT records etc.
  3. To hire-in vehicles from external sources as required and administer the financial processes necessary to pay for the hired vehicles, including reconciliation of invoices to hire contracts and agreements.
  4. To lead on liaising with external suppliers, logistics firms and hire companies to ensure the service can meet its client obligations, (e.g. the sub-contracting of work vehicle repairs).
