Job overview

Community Services will appoint a suitably qualified person with the essential skills into the role of administration officer. They will become an integral part of Lymphoedema services at Maesteg Hospital.

There are 2 part time posts available, post 1 covering 9.00am - 12.45pm, post 2 covering 12.15pm - 4.00pm.

Lymphoedema at Maesteg supports patients in Bridgend and the surrounding areas within the footprint of Cwm Taf Morgannwg.

The key elements of the administration officer will be to support the team in the following key areas of work. To maintain, monitor and process patients on the waiting list for the service.

· Ensure robust processes for patients who attend outpatient clinics, patients who require home visits or patients who will have virtual contacts. This will be done by using a range of CTM patient information systems e.g. WPAS.

· To utilise CTM financial purchase to payment system (Oracle) for producing orders for patient garments, receipting deliveries ensuring invoices can be processed quickly and routing garments for all patients in a timely manner.

· To undertake all other administration tasks highlighted within the job description ensuring the Lymphoedema service is fully supported and maintained by the administration service.

Main duties of the job

The post holder will be required to demonstrate a range of skills to be able to undertake this role, excellent; communication skills, customer care skills, keyboard skills. There is a need to demonstrate a background or experience using Microsoft office packages in particular the use of Excel for maintaining spreadsheets is essential.

A full training package will be provided and the post holder will remain supervised until competency is achieved. When training is completed, post holder will benefit from having a range of new skills and expertise in using patient information and financial systems.

The service is dependent on the post holder providing clear and precise communication along with the ability to demonstrate excellent organisational skills, each essential in a competent team member.

The post holder will work closely within a multi-disciplined team that includes colleagues from across the organisation and external support services.

An understanding of customer care and meeting the needs of the general public is necessary for this position, therefore an excellent telephone and communication manner will need to be demonstrated.
