Job description

As our Executive Business Partner, you will work directly with the Managing Director to turn strategy into execution. You will be the engine room of the company, ensuring that while the MD focuses on growth, the operational side of the business runs seamlessly. We act as a bridge between cultures, time zones, and industries. You will be the critical link between WeNext Europe and China HQ, ensuring communication flows with clarity and cultural intelligence.

Key Responsibilities
  • Strategic Logistics & Executive Effectiveness
    • Proactive Travel Management: You won't just book flights; you will curate agendas. You will proactively research and suggest travel itineraries that maximize business value and ROI, ensuring the leadership team is exactly where they need to be.
    • Meeting Management & Follow-Through: You will attend key leadership meetings to capture detailed notes. Crucially, you will ensure accountability by tracking action items and driving follow-through from internal teams and external partners.
    • Gatekeeping & Focus: You will filter noise and manage priorities, ensuring the MD's time is protected for high-value activities.
  • People Operations & Team Support
    • Candidate Screening: "Great manufacturing starts with people". You will support the executive team by screening incoming CVs and managing initial candidate workflows. This ensures leadership focuses only on the final interviews and building team culture.
    • Policy Research & Employee Wellbeing: You will take the initiative to research and organize essential "People" policies, including local insurances, pension schemes, and employee perks, ensuring our team is supported and compliant.
    • Office Management: You will act as the primary liaison with our office space suppliers, arranging meeting rooms, managing mail collection, and ensuring the physical workspace serves our needs.
  • Finance Administration & Accountability
    • Driving Financial Clarity: You ensure the MD has the right numbers to make smart decisions. This includes managing expense approvals and organizing data for budget tracking.
    • Liaising with Accountants: You will take ownership of the relationship with our external accountants. You will proactively chase up outstanding topics, such as VAT registration, bookkeeping queries, and invoice organization, ensuring nothing slips through the cracks.
  • Operational Improvement & The China-Europe Bridge
    • Creating Better Practices (SOPs): You are a critical thinker who challenges the status quo. You will follow up on internal projects to create new Standard Operating Procedures (SOPs) and implement best practices across the business.
    • Proactive Task Identification: You don't wait to be asked. You will identify operational tasks that need attention and solve inefficiencies before they become problems.
    • Translation & Context: Fluent in Mandarin and English, you will translate key business updates, providing the necessary cultural context to avoid misunderstandings between European operations and China HQ.
Language Skills

Fluent in Mandarin Chinese and English-both written and spoken (Essential). Your communication should be clear, precise, and culturally aware.

Experience

3-6 years of experience as an Executive Assistant, Business Manager, or Operations Coordinator, ideally within an international organisation.

Financial & HR Literacy

You are comfortable with numbers and sensitive data. You don't need to be an accountant, but you must be confident handling spreadsheets, invoices, and confidential HR documents.

Mindset

Tech Stack

Proficiency in Google Workspace, Excel/Sheets, and CRM tools.
