Job summary

CBRE Group, Inc. is seeking a proactive Personal Assistant to support the Occupier Hub Executive team with high‑level administrative tasks. You will manage calendars for approximately four stakeholders, coordinate domestic and international travel, and handle expense claims and e‑filing.

The role requires discretion, autonomy, and strong IT skills. The successful candidate will arrange internal and client events, maintain the pitch schedule, and ensure timely communication.

Qualifications

  • 2 years’ PA experience.
  • Excellent organisational skills and great attention to detail.
  • Ability to prioritise and manage workload.
  • Excellent communication skills – both written and verbal.
  • Advanced IT skills (Word, Excel, MS Outlook and PowerPoint).
  • Discretion and sensitivity around confidentiality.
  • Ability to work autonomously and as a part of a wider team.

Responsibilities

  • Draft, review and format legal documents, including NDAs, deeds of variation and termination.
  • Diary management for the executive team and stakeholders; arrange internal and client meetings; book meeting rooms.
  • Arrange domestic & international travel; book hotels and visas; produce detailed itineraries.
  • Maintain the team’s pitch schedule.
  • Process expense claims.
  • Full management of e-filing.
  • Organise internal and client events onsite and offsite.

About the Role

We are looking for a Personal Assistant to provide administrative support within the Occupier Hub Executive team, to ensure that their needs and the clients’ needs are always met. You will have approximately 4 key stakeholders to support and, from time to time, may be required to assist other members of the wider department.

What You Will Need
  • Provide high quality, proactive administrative support to your key stakeholders and the wider team members, acting as a key point of contact.
  • Extensive and occasionally complex diary management with an understanding of the team’s priorities – pro-actively manage the teams’ busy diaries, arranging both internal and client meetings, lunches and dinners. Booking meeting rooms.
  • Arranging domestic & international travel via our travel company. Arranging hotels and visas. Producing detailed itineraries.
  • Maintain the team’s pitch schedule.
  • Processing expense claims.
  • Full management of e-filing.
  • Organise internal and client events both onsite and offsite.
