Job summary

Jobtailor in the United Kingdom is seeking an experienced Executive Assistant to provide high-level support to the COO, Operations Director, Head of Consulting and Senior Adviser. You will manage complex diaries, coordinate cross-team communication and arrange international travel, while handling confidential information with discretion.

The role requires at least 3 years of EA experience, excellent written and verbal communication, and the ability to work under pressure.

Qualifications

  • Minimum of 3+ years’ experience as an Executive Assistant.
  • Advanced MS Office skills.
  • Confidence speaking to and influencing senior management.
  • Strong organisational and problem-solving skills with impeccable multi-tasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently, under pressure and to tight deadlines.
  • Exceptional interpersonal skills.
  • Reliable and honest.
  • Must meet security requirements before appointment, including full security check / Security Check (SC) clearance.
  • Must have lived in the UK for the last 5 years.
  • Clearance must be obtained without caveats preventing performance of the role.
  • Must be able and willing to attend the Bristol office as and when required.
  • Unable to offer visa sponsorship.

Responsibilities

  • Provide proactive, high-level executive support to the COO, Operations Director, Head of Consulting and Senior Adviser
  • Coordinate collaboration and communication between leadership and wider teams
  • Manage complex and dynamic diaries, appointments, meetings, briefings and actions
  • Coordinate executive communications and responses to enquiries and correspondence
  • Build relationships with clients, partners and key stakeholders
  • Arrange and manage domestic and international travel, itineraries, accommodation and transportation
  • Process executive expenses accurately and compliantly
  • Maintain confidential electronic and physical filing systems
  • Identify improvements to administrative processes, systems and ways of working
  • Plan and coordinate internal and external events, including venues, invitations, logistics and stakeholder communications
  • Handle highly sensitive information with discretion and confidentiality
  • Support continuous improvement, employee experience and internal initiatives
  • Support internal capability, innovation and learning initiatives
  • Assist with ad hoc personal administration for senior leaders
  • Undertake additional duties and projects requested by Directors
