What You’ll Do

This role blends executive assistant duties (25%) with team support (75%), giving you variety, impact, and visibility across the business.

Executive Assistant (25%)
  • Manage calendars for executives/department heads; resolve conflicts and prioritize commitments.
  • Arrange domestic and international travel, including logistics, visas, and itineraries for executives/department heads.
  • Organize and coordinate meetings, training, offsites, and departmental events.
  • Maintain discretion and confidentiality when handling sensitive information.
Team Support (75%)
  • Develop, collect, and prepare information used for presentations/meetings for department heads and the regional Data Centre team. Issue meeting notes and follow-up actions as required.
  • Assist with gathering information and data entry for project status reporting.
  • Review and track expense reports from the development team prior to department head approval.
  • Assist team members with creation and implementation of processes.
  • Liaise with the legal team on routine matters (e.g., NDAs).
  • Finance support: assist with invoicing, purchase orders, and related financial administration.
  • Support onboarding of new team members.
  • Help govern program/project folder structures.
  • Demonstrate willingness to pitch in and take on new projects as requested.
  • Provide additional ad hoc departmental support as needed.
Qualifications & Experience
  • Prior experience as an Executive Assistant or Senior Administrative Assistant, preferably within an international corporate environment.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks and deadlines with accuracy.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Outlook, Excel, PowerPoint).
  • Ability to work with discretion and maintain confidentiality.
  • Self-motivated, flexible, and collaborative team player.
