Executive Assistant

The Executive Assistant (EA) will provide high-level administrative support to the CEO, CFO, and wider Executive Team. The role ensures leadership can focus on strategic priorities by managing schedules, anticipating needs, and maintaining smooth day-to-day operations. Acting as a central point of coordination, the EA supports effective communication, organisation, and collaboration across the business.

Key Responsibilities
  • Provide proactive administrative support to the CEO, CFO, and Executive Team, anticipating needs and resolving issues ahead of time.
  • Manage complex diaries, priorities, and scheduling to ensure efficient use of executive time.
  • Represent the Executives with professionalism, discretion, and confidentiality at all times.
  • Prepare logistics and relevant information in advance of meetings and deadlines.
  • Assist with preparation of board packs.
  • Support the company's internal meeting rhythm and ensure consistency across meeting owners.
  • Carry out project research and operational support tasks as required by the leadership team.
  • Create and format high‑quality presentations, reports, and briefing materials for internal and external audiences.
  • Act as the primary point of contact for internal and external stakeholders, ensuring timely and accurate communication on behalf of the Executives.
  • Arrange complex travel itineraries, accommodation, and logistics for domestic and international trips, including expense reconciliation.
  • Maintain accurate records, filing systems, and ensure compliance with company policies and confidentiality standards.
  • Build strong relationships across the organisation and with external partners to facilitate smooth communication and collaboration.

  • Exceptional organisational skills with the ability to anticipate needs and plan ahead.
  • Excellent written and verbal communication skills with confidence engaging across all levels.
  • Strong prioritisation and time management skills, especially in a fast‑paced environment.
  • High proficiency in Microsoft Office – including Outlook, Excel, Word and PowerPoint.
  • Sound judgement, strong problem‑solving skills, and the ability to work autonomously.

Relevant Experience & Qualifications
  • Experience as an Executive Assistant, Personal Assistant, or senior‑level administrator.
  • Experience supporting C‑Suite or senior leaders within a fast‑paced organisation (desirable).
  • Exposure to project work, research tasks, or operational coordination (desirable).
  • Experience within tech‑driven, commercial, or corporate environments is advantageous.
  • Qualifications in business administration or related fields are a plus but not essential.
