FJWilson Talent Services is seeking an Events Coordinator to support planning and delivery of conferences and events for a 6-week PAYE contract. The role is hybrid, with one day per week in Buckinghamshire.

The ideal candidate has 1-2 years' experience coordinating events, strong organisational skills, and proficiency in MS Office. You will coordinate speakers, venues, sponsors, and virtual platforms, collaborating with internal teams to create engaging experiences.

Responsibilities

  • Coordinate speakers including travel and materials.
  • Set up events on virtual platforms.
  • Support sponsor engagement with branding and registrations.
  • Collaborate with marketing to produce event materials.

Events Coordinator (6 weeks, PAYE)

Our client is seeking a highly organised and proactive Events Coordinator to support the planning, coordination, and delivery of a diverse programme of conferences and events. Working closely with internal stakeholders, speakers, sponsors, venues, and suppliers, you will help create engaging and high-quality experiences across both in-person and virtual formats.

This is an excellent opportunity for someone with early career event management experience who enjoys managing multiple projects, building relationships, and delivering exceptional event experiences.

Key facts:
  • Contract: Full time, 6 week temporary contract, PAYE
  • Pay rate (PAYE): £19.58 per hour (including rolled up holiday pay)
  • Location: Hybrid - home-based blended, with one day per week in the office in Buckinghamshire
  • Hours: Monday to Friday, 35 hours per week
  • Start date: ASAP
Key responsibilities of the role include:
  • Coordinate the end-to-end delivery of conferences and events, both face-to-face and virtual.
  • Support the planning and execution of additional ad hoc events across the organisation.
  • Liaise with venues, AV providers, production companies, registration platforms, and other suppliers.
  • Manage event timelines and ensure milestones are achieved on schedule.
  • Work with internal stakeholders and volunteer networks to develop event programmes and content.
  • Coordinate speakers, including travel arrangements, briefing calls, agreements, and presentation materials.
  • Set up and manage events on virtual event platforms where required.
  • Support sponsor engagement by coordinating branding opportunities, delegate registrations, and speaker requirements.
  • Collaborate with marketing and digital teams to produce event websites, brochures, promotional materials, and branding assets.
  • Provide support to wider team activities during peak periods.
About you
Essential
  • 1 to 2 years' experience coordinating or managing events.
  • Knowledge of conference formats and event delivery processes.
  • Understanding of budget management principles.
  • Ability to manage multiple event projects simultaneously.
  • Strong organisational and planning skills.
  • Excellent written and verbal communication skills.
  • Strong relationship-building skills with stakeholders, suppliers, and volunteers.
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Teams.
  • Ability to produce clear, professional documentation.
  • Team-oriented approach and excellent attention to detail.
Desirable
  • Degree or professional qualification in events, marketing, project management, or a related field.
  • Experience organising conferences of 150+ delegates.
  • Experience supporting awards ceremonies or large-scale events.
  • Experience coordinating virtual events.
  • Budget management experience.
  • Knowledge of event marketing and promotion.
  • Familiarity with event management platforms such as Cvent or EventsAir.
  • Experience using project management tools such as Asana.
  • Strong analytical and reporting skills.
