Job description
The Opportunity

Our client is seeking a proactive and highly organised Estates Operations Administrator to support the estates and property operations function on a fixed-term basis.


This role is heavily administration-focused and plays a key part in managing communications and documentation between managing agents, clients' law firms and internal stakeholders. The primary responsibility is coordinating the receipt, preparation and issuing of Landlord Documents (LHDOCs) and Landlord Certificates (LLCs), ensuring accuracy, consistency and timely turnaround.


This position would suit a strong administrator with property exposure or transferable administrative experience, a high level of attention to detail and the ability to manage multiple workstreams effectively.



The Role

You will be responsible for the day-to-day administration associated with estates documentation, acting as a central point of contact for managing agents and solicitors. You will track documentation requests, chase outstanding information and ensure all records are maintained accurately and in line with agreed processes.


You will also provide wider administrative support to the estates and operations team as required.


Key Responsibilities include:



  • Managing communications with managing agents and clients' law firms regarding estates documentation

  • Coordinating the receipt, preparation and issuing of LHDOCs and LLCs

  • Tracking document requests, deadlines and responses to ensure timely completion

  • Chasing outstanding information and documentation where required

  • Reviewing documents for accuracy and completeness prior to issue

  • Maintaining accurate digital records and filing systems for audit and reference

  • Supporting the estates team with general administrative tasks as needed

  • Ensuring a consistent and professional standard of correspondence at all times



The Person

You will be a well-organised and detail-oriented administrator with a practical approach and the ability to pick up new processes quickly.

  • A calm, level-headed approach and good problem-solving skills



Desirable


  • Experience in property management, estates or a property administration role

  • Familiarity with Landlord Certificates, LHDOCs or similar property documentation

  • Experience working with managing agents or legal firms

  • Ability to start at short notice

  • Salary £25,000 - £28,000
