Job summary

Your Reformer in London is seeking an Implementation Specialist to coordinate orders, onboarding and installations across the EMEA region. You will manage orders in Shopify, handle invoicing and POs, and keep customer data aligned across systems with HubSpot records updated for the wider team.

With a focus on onboarding for Pilates Education clients, you’ll lead training on digital solutions, coordinate installations with logistics and tech, and ensure clear, proactive communication throughout

Qualifications

• Experience in customer onboarding, implementation, operations or similar B2B roles.
• Strong organisational skills and the ability to manage multiple accounts and deadlines.
• Excellent written and verbal communication with distributors and customers.
• Detail-oriented with a proactive, process-driven mindset.
• Comfort working cross-functionally across commercial, logistics, digital and technical teams.
• Fluent English is essential; additional languages are a bonus.

Responsibilities

• Own end-to-end order management through Shopify, ensuring orders are accurate and processed efficiently.
• Manage invoicing and purchase order processes in line with established procedures.
• Maintain accurate customer and account information across our commercial systems.
• Ensure HubSpot records and activity are kept up to date for visibility.
• Coordinate onboarding for Education clients across the EMEA region.
• Lead customer onboarding and training sessions for our digital solutions.
• Coordinate digital installations and kiosk setups with logistics and tech teams.
• Maintain proactive communication with customers during the implementation journey.
• Work closely with Tech Support to ensure day-one setup.
• Work with logistics to understand delivery and installation timelines.
• Create, maintain and improve SOPs to scale across EMEA.
• Identify opportunities to improve systems and workflows.
• Contribute to a culture of continuous improvement across the commercial team.
• Communicate with partners in a brand-consistent manner and grow product knowledge.
