Document Controller

Location: Worcester | Contract: Perm, full time | £35,000

Our client, a leading UK construction company, is seeking a Document Controller to manage the efficient handling, storage, and retrieval of project documentation, ensuring accuracy, compliance, and accessibility across their business.

As Document Controller, you’ll work closely with project teams, engineers, and subcontractors to maintain a smooth document flow, with a strong focus on COINS system management and quality assurance.

Key Responsibilities:

  • Maintain accurate records with version control, correct filing and stakeholder access
  • Monitor workflows to ensure timely reviews, approvals and distribution
  • Upload, track and manage documents in COINS, assigning codes and metadata to project standards
  • Generate reports and logs for audits, ensuring consistent COINS use across departments
  • Ensure all documentation meets company and regulatory standards, supporting audits when needed
  • Liaise with teams and subcontractors to maintain document flow and provide training on procedures
  • Act as the main contact for document queries and troubleshooting

About You

  • Document control experience
  • Proficient in using COINS or similar document management systems, with accurate coding and metadata assignment
  • Skilled in monitoring workflows to ensure timely reviews, approvals and document distribution
  • Ability to generate audit-ready reports and logs, ensuring compliance with company and regulatory standards
  • Experienced in liaising with internal teams and subcontractors to maintain consistent document flow
  • Competent in providing training and guidance on document control procedures and system use
  • Effective problem-solving and troubleshooting skills for document-related queries
