Job summary

NG Bailey Facilities Services are recruiting a Contract Administrator to provide administration support to the contract delivery team in Bristol. You will maintain contract documentation, support financial reporting including WIP and aged debt, and help ensure compliance with contract requirements and company procedures.

This role suits an experienced administrator with strong problem-solving skills, good English and maths GCSEs, and proficiency in Microsoft Office.

Qualifications

  • Experience in an administration role within FM or Building Services.
  • Strong organisation and ability to produce accurate reports.
  • GCSE Maths and English at grade C or above.
  • Proficiency in Microsoft Word and Excel for detailed reporting.
  • Experience with invoice reconciliation and WIP reporting.

Responsibilities

  • Provide contract operation support to the Contract Management team.
  • Collate and maintain contract, compliance and operational documentation.
  • Support financial reporting, including WIP and aged debt.
  • Review and rectify invoice queries from finance reports.
  • Draft monthly reports and maintain the quote log with client approvals.

NG Bailey Facilities Services are currently recruiting for a Contract Administrator to provide administration support to the contract delivery team to meet contract and business objectives. Maintain high standards of contract support in accordance with contract requirements and company procedures.

Some of the key deliverables in this role will include:
  • Provide contract operation support as required by the Contract Management team.
  • Collate and Maintain contract, compliance and operational documentation.
  • Provide support to the financial reporting requirements, to include WIP and aged debt.
  • Review & rectify invoice queries from the finance blocked invoice reports.
  • Collate and draft the Monthly reports as required.
  • Update quote log & track client approvals.
What we're looking for:

An experienced Administrator working in a strong administrative or customer service background, the ability to problem solve, prioritise requests and thrive under pressure with the utmost regard for customer service.

You will hold current qualifications to work as an Administrator or have experience in the following:

  • Experience working within an FM or Building Services environment.
  • Must have educational qualifications in Mathematics and English Language (GCSE Grade C or above or equivalent)
  • IT literate in all Microsoft packages especially Word and Excel - to produce detailed Excel and Word reports.
  • Experience of Invoice reconciliation and WIP reporting.
  • Previous experience of working with a recognised CAFM system (i.e.: Concept, eLogbooks, Joblogic) is desirable however training will be provided.
  • Have a logical and organised method to enable 100% completion of all works.
