We are looking for a highly skilled and detail-oriented Commercial Coordinator to join VIVO, a joint venture between Serco and Engie delivering infrastructure, asset, and facilities management services across the UK Defence sector. This is a pivotal role within our commercial function, requiring someone with strong technical knowledge, exceptional accuracy, and the ability to manage complex data and processes in a fast-paced environment.

The Role

As Commercial Coordinator, you will take ownership of managing payment applications across the supply chain, covering TwC jobs up to 25k and VB1 and VB2 projects valued between 25k and 250k. You will be responsible for validating costs against agreed rates, processing subcontractor payments, and maintaining a robust supplier database. Supporting the Principal Commercial Manager, you will play a critical role in the management of contract changes, recompense events, and other key commercial activities that underpin our operations.

Your technical skills will be tested daily, as you will be producing, reviewing, and presenting accurate financial and commercial reports, with advanced Excel and data management expertise essential. You will be expected to interrogate data to ensure integrity, compliance, and alignment with contractual obligations, while providing insights that drive better decision-making across the team. Experience in managing documentation in accordance with ISO standards and working knowledge of MS Office systems will be fundamental, and familiarity with CAFM systems or similar applications will be advantageous.

What You'll Bring

We are looking for someone with proven commercial coordinator experience in a high-volume environment within the construction, property maintenance, or facilities management industry. A background in processing payments, coordinating supply chain activity, and managing commercial records is essential, and any experience within a military or defence environment would be highly beneficial. To succeed, you will need strong analytical ability, a solid understanding of commercial controls, and the confidence to liaise effectively with supply chain partners, subject matter experts, and internal stakeholders at all levels.

This role requires an individual with excellent organisational skills, the ability to manage multiple competing deadlines, and a continuous improvement mindset. You will need to demonstrate exceptional attention to detail, a strong grasp of commercial process management, and the technical competence to ensure all activities are delivered with precision and compliance.
