Are you looking for an opportunity to be part of a diverse directorate covering a wide range of professions? A fantastic opportunity has arisen for a Band 5 Business Administrator to join the Chief Nursing Officer Directorate at Sussex Partnership NHS Foundation Trust.

This is a permanent, full-time opportunity for an individual with strong administration, office management and proficient business skills to join our team.

Main duties of the job

You will provide administration support to the Chief Nursing Officer, Deputy Chief Nurse and the Business Manager to the Chief Nursing Officer.

The main duties will be:

  • Complex diary management and facilitating delivery
  • Meeting administration - agenda setting, paper distribution and minute taking
  • Financial support - raising requisitions using our in-house purchasing system
  • To act as a central point of contact and expert for queries and information within the directorate
  • To provide proficient administrative support producing documents using appropriate software packages, working to timescales and to a high standard of accuracy following Trust templates and Directorate presentation standards.
  • Meet and greet visitors, providing a welcoming environment and offering refreshments as required
  • Develop working relationships with key people within the directorate and Trust-wide to support and develop the business of the directorate and to play an active part in developing and achieving a culture of performance management
  • Support Board sub-Committees and deputise for the Business Manager to Chief Nursing Officer when required

Job responsibilities

The Business Administrator will be responsible for the provision of an efficient, effective and professional administrative service to support senior leaders across the CNO directorate.

The Chief Nursing Officer Directorate covers a wide range of professions including safeguarding, allied health professions, nursing research & education, psychological professions, quality and patient safety.

The post holder will be responsible for:

The day-to-day organisation of the directorate office

  • Knowing the overall priorities of the Executive/Senior leaders, interpreting these priorities by planning and managing the diary, facilitating delivery.
  • Establish and use effective administrative working protocols and practices within the directorate group.
  • Continually review and improve systems.
  • Work closely with management - assist the BM to the CNO when required and appropriate.
  • The Business Administrator will work on their own initiative with significant discretion to develop systems and work within the broad guidance from the Executive/Director.
  • The Business Administrator will support the collation of weekly and monthly supervision and appraisal stats and reports, following up as needed.
  • The Business Administrator will be involved with event planning, booking appropriate rooms/meetings and project planning associated with these tasks.
  • The post holder will be organised, prioritising workload, working alone as well as being a strong team player and assisting and supporting in developmental opportunities for themselves and across the team.
  • the post holder will lead on the production, analysis and presentation of information to key people as deemed appropriate.
  • The post holder will undertake any other duties at the request of the Executive Director which are commensurate with the role including project work and internal job rotation.
  • The post holder will support the wider Executive Support Team as and when needed with administrative support, meeting facilitation and event management, providing cross cover at times of annual leave or absence.
