Job summary

Honeycomb is recruiting on behalf of the Southern Trust for Band 3 Homecare Office Administrators to join the Trust Homecare Team in Craigavon. You will provide efficient administrative support, maintain records, roster Homecare Assistants, schedule work, and inform clients and carers about rota changes.

The role requires organisation, accuracy and clear communication in a busy office. Full driving license and access to a car are required; 7.00am–5.00pm rota; MS Word/Excel experience essential.

Qualifications

  • GCSEs including English and Maths are required or equivalent.
  • Minimum 1 year clerical/administrative experience or 2 years' experience in a clerical role.
  • Full driving licence and access to a car for work are required.
  • Ability to use Word and Excel for rostering and communication.

Responsibilities

  • Provide day-to-day administrative support to the Trust Homecare Team.
  • Maintain accurate manual and electronic records.
  • Assist with Homecare Assistant rosters and scheduling.
  • Communicate changes to rotas with clients and carers.
  • Ensure information supports payment processes for Homecare Assistants.
  • Handle enquiries professionally by phone and email.

We are looking for a reliable and motivated Band 3 Homecare Office Administrator to join our Trust Homecare Team in Craigavon.

This is an important role within the Homecare Office, providing the administrative support that helps our service run effectively and ensures our Homecare Assistants are scheduled to meet the needs of our clients.

About the role

As a Homecare Office Administrator, you will provide efficient and effective administrative support to the Trust Homecare Team.

You will maintain and update manual and electronic records, helping to support the rostering and payment of Homecare Assistants. You will also communicate regularly with staff by telephone and electronically to assist with scheduling work and responding to changes.

An important part of your role will be keeping clients and carers informed about changes to rotas and responding appropriately to queries.

This is a role where being organised, accurate and a good communicator really matters.

What will you be doing?

You will:

  • Provide day-to-day administrative support to the Trust Homecare Team.
  • Maintain accurate and up-to-date manual and electronic records.
  • Assist with the preparation and updating of Homecare Assistant rosters.
  • Contact Homecare Assistants by telephone and electronic methods to schedule work.
  • Assist with arranging cover when staffing arrangements change.
  • Communicate with clients and carers regarding changes to rotas and appropriate queries.
  • Ensure information is recorded accurately to support the payment of Homecare Assistants.
  • Use Microsoft Office applications, including Word and Excel.
  • Deal with telephone and electronic enquiries in a professional and helpful manner.
  • Collaborate closely with colleagues to support the smooth running of the Homecare service.
  • Prioritise your workload and respond effectively to changing demands.

Essential Criteria

Applicants must meet the following requirements:

IT Skills

Experience in the use of Microsoft Office products, including Word and Excel, or equivalent.

Availability

Available to work between 7.00am and 5.00pm on a rota basis.

Driving Requirement

Hold a full current driving licence and have access to a car for work purposes.

Qualifications and Experience

Either:

  • 4 GCSEs at Grades A-C, including English Language and Maths, or equivalent/higher qualification AND 1 years' experience in a clerical/administrative role.

OR

  • 2 years' experience in a clerical/administrative role.
