Band 3 Homecare Administrative Assistant - Banbridge

Pay Band: Band 3 - £12.75 per hour
Hours: Full-Time 9am until 5pm
About the Role
We are seeking a highly organised and motivated
Homecare Administrative Assistant to join our dedicated Homecare Team based in Banbridge. This is an excellent opportunity for an experienced administrator looking to support the delivery of vital community care services.
The successful candidate will provide efficient and effective administrative support to the Homecare Service, ensuring the smooth coordination of staff rotas, payroll information, and communication with service users, carers, and Homecare Assistants. You will play a key role in supporting the delivery of high-quality care services across the community.
Key Responsibilities
- Act as the first point of contact for service users, carers, Trust staff and healthcare professionals contacting the Homecare Service.
- Maintain accurate records of Homecare Assistant availability and assist with staff scheduling.
- Prepare and manage duty rotas, ensuring adequate cover for annual leave, sickness absence, training and other staffing requirements.
- Arrange alternative cover when care staff are unavailable to attend scheduled duties.
- Work closely with Homecare Supervisors to address rota and scheduling issues promptly.
- Process payroll information accurately and within required deadlines to ensure staff are paid correctly and on time.
- Check and process mileage claims for Homecare Assistants.
- Assist with Occupational Health appointments and associated correspondence.
- Maintain efficient filing and record-keeping systems, both electronic and paper-based.
- Produce reports and statistical information using IT systems including Microsoft Excel and other databases.
- Support recruitment and selection activities, including administration of recruitment documentation.
- Maintain staff personnel files and ensure all records are up to date.
- Monitor and order stationery and office supplies as required.
- Participate in training, appraisal and development activities to support continued professional growth.
Applicants should demonstrate:
- At least 4 GCSEs (Grade A-C) including English Language (or equivalent qualification) and one year's administrative/clerical experience
OR
- Two years' administrative/clerical experience.
In addition, candidates must have:
- A Driving Licence and access to a car is also required.
- Experience using Microsoft Office applications, particularly Word, Excel and Outlook.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- The ability to work accurately under pressure and manage competing priorities.
- Experience maintaining confidential records and handling sensitive information appropriately.
