A healthcare provider in Wigan seeks a dedicated Assistant Practice Manager to support in the daily operations of the practice. The role involves coordinating administrative tasks, supporting healthcare processes, and ensuring compliance with health and safety legislation. This position requires strong IT skills, experience with digital platforms such as Systmone, and a background in GP practice administration. Flexibility for 21+ hours per week is offered, with the possibility of early closure of applications upon finding suitable candidates.
We are looking for a dedicated, forward thinking Assistant Practice Manager to join our team.
Organised and motivated and already working in this role or similar? As our Assistant Practice Manager you will support the Practice Manager in the day-to-day running of the Practice, ensuring smooth operations and high standard of care for our patients.
Have you got strong IT skills, with previous experience of using Systmone and digital platforms used in GP Practice or PCN?
Previous experience of administrative role in GP practice or PCN is desired.
The role is 21hrs+ per week flexible. We may close this advert early if we receive suitable candidates.
The PM Assistant will work closely with the Practice Manager to handle a variety of tasks that includes dealing with people from inside and outside the organisation and overseeing administrative systems, procedures, and patient services.
Data handling and IT support for all administrative and clinical team members. Organising clinical and room rotas including Trainee GP's and Medical Students. Liaising with patients,staff and external healthcare professionals.
Our surgery provides high quality healthcare to 5700patients from a modern purpose-built HealthCentre. We have 3 GP Partners, Nursing Team, Practice Manager and Senior AdminTeam including Secretary along with a Reception Team. We have a long-term stable workforce and areproud that several staff members have been with us for decades. We are atraining practice hosting GP registrars, undergraduate medical students, andstudent nurses.
Support the Practice Manager as required with projects, systems and procedures
Support the Practice Manager in the day-to-day operations of the practice, providing key performance information and activity reporting as requested i.e QOF, PCS, DES
Oversee administrative systems, procedure and patient services.
Assist with rotas, recruitment, training an HR processes
Provide administrative support for compliance registers, supporting the Practice Manager.
Coordinate the practice diary, ensuring meetings are scheduled appropriately
Coordinate internal and external meeting arrangements, preparing agendas and producing minutes for clinical meetings
Strong administrative and IT skills, proficiency in Systmone TeamNet and NHS & GP ICT systems.
Maintaining the practice website
Draft the practice newsletter on a quarterly basis
Arrange PPG meetings, preparing agendas and producing minutes
Effectively monitor the Friends and Families Test and other patient feedback
In conjunction with the Practice Manager, set and monitor performance targets, identifying areas for improvement to enhance patient services
Support all clinical staff with general administrative tasks as requested
Be aware of duties and responsibilities regarding current legislation, practice policies and procedures.
Undertake all mandatory training programmes
Have a thorough understanding of practice policies and procedures and support the Practice Manager in reviewing and updating practice policies and procedures
Support the Practice Manager with preparations relating to CQC
Provide IT support to the Practice team, ensuring IG compliance at all times
Attendance and minute taking at staff Practice meetings
Attendance and minute taking at Partners Meeting when required
HR
Assist with the maintenance of HR documentation
Support the management of clinical and non-clinical staff
Contribute to the development, implementation and embedding of an effective practice training and induction programme for all staff
Add clinical and non-clinical leave on team net/bright HR
Assist with rotas, recruitment and general staff training
Health and Safety
Support the Practice Manager in monitoring compliance with health and safety legislation, providing leadership and direction for staff where appropriate
Assist with ensuring building maintenance and compliance is kept up to date

Participation in an annual performance review (appraisal), including taking responsibility for maintaining a record of own development activity
Taking responsibility for own development and learning by following through objectives set at appraisal
Ensure attendance at identified training and educational events
Attend induction training, mandatory training and mandatory updates as required
