Job summary

A leading conservation organization is offering an apprenticeship for an Administration Support role in Wrexham. The successful candidate will provide essential support to the Project Integration Manager and other executives, manage diaries, and handle logistics for meetings. About the apprenticeship
Duties
  • Provide administration support to Project Integration Manager which will include administration support to the CEO, BASC Chairman, Vice-Chair and ad-hoc support to the Executive Directors.
  • Administration support to the CEO Office, ensuring diaries, travel arrangements, expenses and all other logistic matters are effectively managed.
  • General administration duties including proof reading, collation and distribution of meeting papers, letters and raising order requisitions.
  • Council – assist and provide support in the prep for council meetings. This includes, logistics of travel, accommodation, food, etc. ensuring the meeting goes to plan.
  • Take telephone and email messages, escalating urgent matters and passing information to the appropriate person at the earliest convenience.
  • Assist in preparations for the AGM meeting as required, co-ordination of evening meal arrangements, lunches and room bookings.
Additional information
  • Ensure that all incoming correspondence is acted upon, and outgoing letters and email communications are completed in a timely manner.
  • Ensure that appropriate records and filing systems are kept up to date both for hard copy and electronic communications.
  • Travel and accommodation arrangements as required.
  • Raise order requisitions as requested and complete purchase order documentation and checking invoices and issue to Finance.
  • Assist Project Integration Manager with shows and events as required.
  • Attendance at the yearly Game Fair with the CEO team assisting the Project Integration Manager at the event as required.
  • Work on reception as and when required, answer calls with the appropriate greeting efficiently and courteously, ensuring all calls are routed correctly and that messages are passed to the appropriate team member in a timely manner.
