Job summary

Pertemps Bond has a temporary Administrator role in Glasgow West End. The position offers a hourly rate of £13.53 and a rotating schedule, Monday to Friday, with shifts from 8:00am–4:00pm and 10:00am–6:00pm.

Qualifications

  • Experience in administrative or reception roles.
  • Excellent customer service and communication abilities.
  • Strong IT skills, with good working knowledge of MS Office.
  • Very accurate and detail-oriented in day-to-day tasks.
  • Able to work flexibly in a rotating shift pattern.

Responsibilities

  • Act as first point of contact for staff, students, visitors and the public.
  • Respond to enquiries and resolve issues, escalating when required.
  • Maintain reception, atrium and meeting rooms to a welcoming standard.
  • Provide administrative support for events and festivals.
  • Monitor bookings and manage the events calendar to avoid clashes.
  • Operate the secure access control system and visitor passes.
  • Administer the smart locker and digital signage systems.
  • Maintain the resident database and reconcile paperwork for requisitions.
  • Provide short-term cover for Stores Reception when needed.
  • Undertake other administrative and operational duties as required.

Administrator – Glasgow West End

£13.53 per hour

Our client, a highly respected Higher Education institution based in Glasgow, is seeking an experienced Administrator to join their team on a temporary basis.

This is an excellent opportunity for an organised and customer-focused administrator to work within a high-profile centre, providing professional administrative and reception support to a wide range of internal and external users.

The Role

The successful candidate will be responsible for delivering an efficient, professional and welcoming reception and administrative service, supporting the day-to-day operation of the centre.

You will act as a key point of contact for staff, students, visitors, contractors and members of the public, ensuring enquiries are dealt with promptly and professionally.

Key Responsibilities
  • Act as a first point of contact for staff, students, visitors, contractors and members of the public, both in person, by telephone and via email
  • Respond to a wide range of enquiries, resolving issues independently wherever possible and escalating when required
  • Ensure the reception area, atrium and meeting rooms are maintained to a clean, tidy and welcoming standard
  • Provide administrative and organisational support for a wide range of events and festivals
  • Monitor event and room bookings, maintaining the events calendar and managing last-minute changes and requests to minimise potential clashes
  • Manage a secure access control system supporting more than 1,000 users, as well as visitor access cards
  • Administer the smart locker system, comprising more than 600 lockers, providing advice and guidance to users
  • Maintain and update a database of approximately 550 building residents
  • Produce, update and monitor content displayed across the centre's digital signage network
  • Raise requisitions for general supplies, goods and services, ensuring all associated paperwork is accurately reconciled
  • Provide short-term cover for the Stores Reception as required
  • Undertake other administrative and operational duties as required
Skills and Experience
  • Previous experience in a similar administrative or reception-based role
  • Excellent administration and customer service skills
  • Strong computer literacy, including good working knowledge of Microsoft Office
  • Excellent organisational skills, with a high level of accuracy and attention to detail
  • Strong written and verbal communication skills
  • Excellent interpersonal skills and a professional, approachable manner
  • The ability to work flexibly and effectively under pressure
  • The ability to work confidently both independently and as part of a wider team?
  • A proactive approach, with the initiative to resolve queries and manage competing priorities
