Job summary

Pertemps Glasgow Perm Hub is seeking an experienced Administrator to join the team in Glasgow West End on a temporary basis. The role involves delivering a professional, welcoming reception and administrative support to a high-profile centre, with a focus on customer service and accurate administration.

The successful candidate will manage reception duties, provide day-to-day support, handle enquiries, coordinate events and maintain digital signage content.

Qualifications

  • Previous experience in a similar administrative or reception-based role.
  • Excellent administration and customer service skills.
  • Strong computer literacy with good working knowledge of Microsoft Office.
  • Excellent organisational skills with a high level of accuracy and attention to detail.

Responsibilities

  • Act as a first point of contact for staff, students, visitors, contractors and the public, in person, by telephone and via email.
  • Respond to enquiries and resolve issues independently where possible; escalate when required.
  • Maintain reception, atrium and meeting rooms to a clean, welcoming standard.
  • Provide administrative and organisational support for events and festivals.
  • Monitor bookings, manage the events calendar and last-minute changes to avoid clashes.
  • Assist with the smart locker system and visitor access cards.

Administrator - Glasgow West End

£13.53 per hour

Monday to Friday 8:00am-4:00pm and 10:00am-6:00pm on a weekly rotation

Temporary position Starting 14 September Up to 12 weeks

Our client, a highly respected Higher Education institution based in Glasgow, is seeking an experienced Administrator to join their team on a temporary basis.

This is an excellent opportunity for an organised and customer-focused administrator to work within a high-profile centre, providing professional administrative and reception support to a wide range of internal and external users.

The Role

The successful candidate will be responsible for delivering an efficient, professional and welcoming reception and administrative service, supporting the day-to-day operation of the centre.

You will act as a key point of contact for staff, students, visitors, contractors and members of the public, ensuring enquiries are dealt with promptly and professionally.

Key Responsibilities
  • Act as a first point of contact for staff, students, visitors, contractors and members of the public, both in person, by telephone and via email
  • Respond to a wide range of enquiries, resolving issues independently wherever possible and escalating when required
  • Ensure the reception area, atrium and meeting rooms are maintained to a clean, tidy and welcoming standard
  • Provide administrative and organisational support for a wide range of events and festivals
  • Monitor event and room bookings, maintaining the events calendar and managing last-minute changes and requests to minimise potential clashes
  • Manage a secure access control system supporting more than 1,000 users, as well as visitor access cards
  • Administer the smart locker system, comprising more than 600 lockers, providing advice and guidance to users
  • Maintain and update a database of approximately 550 building residents
  • Produce, update and monitor content displayed across the centre's digital signage network
  • Raise requisitions for general supplies, goods and services, ensuring all associated paperwork is accurately reconciled
  • Provide short-term cover for the Stores Reception as required
  • Undertake other administrative and operational duties as required
Skills and Experience
  • Previous experience in a similar administrative or reception-based role
  • Excellent administration and customer service skills
  • Strong computer literacy, including good working knowledge of Microsoft Office
  • Excellent organisational skills, with a high level of accuracy and attention to detail
  • Strong written and verbal communication skills
  • Excellent interpersonal skills and a professional, approachable manner
  • The ability to work flexibly and effectively under pressure
  • The ability to work confidently both independently and as part of a wider team
  • A proactive approach, with the initiative to resolve queries and manage competing priorities
