Job summary

NHS Professionals in Oxfordshire is seeking an Administrator to provide administrative support within a Mental Health Service, based at White Building, Littlemore Mental Health Centre, Sandford Rd, Littlemore. Initial 4 weeks in the office followed by hybrid working options.

The role involves handling calls, data entry, visitor reception, and ensuring accurate records across systems, with training and development opportunities and a supportive NHS environment.

Qualifications

  • GCSE English and Maths or equivalent NVQ Level 3 Business Admin.
  • Intermediate knowledge of IT systems and software such as Outlook, Word, Excel, PowerPoint and Access.
  • Clear communicator with professional telephone manner.

Responsibilities

  • Carrying out a wide range of general administrative duties including answering and directing calls, printing, filing, scanning and document management.
  • Welcoming visitors and providing a friendly first point of contact for the office.
  • Supporting office administrators to ensure efficient service delivery and data accuracy across systems.
  • Enter and maintain patient data and records across electronic systems.
  • Prepare and submit correspondence and information to external agencies, ensuring confidentiality.

Location: White Building, Littlemore Mental Health Centre, Sandford Rd, Littlemore, OX4 4XN - 4 weeks training in the office then hybrid working options can be discussed

Hours: 37.5 hours per week Monday – Friday 8.00am – 4.00pm / 9.00am – 5.00pm

Trust: Oxford Health NHS Foundation Trust

Role type: Temporary for 6 months with possibility of extension

Providing administrative support within a Mental Health Service.

Duties & responsibilities
  • Carrying out a wide range of general administrative duties, including answering and directing telephone calls, printing, filing, scanning, and document management.
  • Welcoming and assisting visitors, providing a professional and friendly first point of contact for the office.
  • Supporting office administrators with a variety of administrative tasks to ensure the efficient running of the service.
  • Enter and maintain accurate data across electronic systems, including updating patient records and databases.
  • Assist with the preparation, organisation, and validation of data and reports.
  • Save organise and maintain reports and documentation in line with organisational procedures.
  • Prepare and submit correspondence and information to external agencies and partner organisations, ensuring accuracy and confidentiality.

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
