Job description

We have an exciting opportunity within our Leicestershire & Rutland Sexual Health Hub for an experienced and enthusiastic administrator to join our friendly and welcoming team! As part of your role as an administrator you will assist with the provision of the Sexual Health Hub and contribute to the effective running of the clinics through the delivery of administrative tasks. You will directly support the service by maintaining administrative systems and procedures including reception duties, back‑office support, minute taking, managing incoming calls from the Single Point of Access (SPA) and performing required patient contact. You will be proficient in the use of computerised systems for booking and tracking all types of patient appointments and maintaining accurate patient electronic records. This is an 18.5‑hour role requiring flexibility to cover the clinic’s opening times over weekends and evenings, including one Saturday. Responsibilities
  • Reception desk duties including greeting and registering patients, booking appointments and handling general enquiries from patients, other healthcare professionals and the public where appropriate.
  • Use the Lilie patient management system to book, register and track patients through the service.
  • Ensure telephone enquiries from the SPA are dealt with in a polite and courteous manner.
  • Work in line with HCRG Care Group’s organisational values and behaviours framework, in addition to maintaining local and regional guidelines.
  • Maintain a safe environment for patients, staff and visitors.
  • Participate in service developments for the administrative team and support clinical teams where required.
  • Support the Administration Team Lead in day‑to‑day operational functions of the Sexual Health Hub and undertake any office duties to ensure the efficiency of the administrative service is maintained at all times.
Qualifications & Requirements
  • Educated to GCSE level or equivalent in Maths and English.
  • Able to work collaboratively with others and form good working relationships.
  • Mature and professional approach to Sexual Health issues when dealing with patients.
  • Able to organise and prioritise own workload.
  • Able to communicate effectively and appropriately with individuals and groups at all levels.
  • Ability to multitask.
  • Open and honest.
  • Demonstrate a sound knowledge of administration/reception roles.
  • Experience of working as part of a multi‑disciplinary team.
  • Full UK driving licence and access to a car.

You will also need to be confident using IT systems and be able to demonstrate working knowledge of Microsoft Office packages (Outlook, Word, Excel). Other requirements: Must be flexible in regard to evenings and weekends, travel across localities, and be able to travel to localities. While not essential, experience with Sexual Health Services or other health settings such as GP surgery and experience of using Electronic Patient Records is desirable.
