Overview

Admin role within Admin Hubs supporting Respiratory, Epilepsy, and Parkinsons teams at Mayflower Community Hospital. Office‑based, 33 hours per week across 5 days, with flexibility in working hours.

Responsibilities
  • Work without supervision and ensure urgent situations are addressed swiftly.
  • Provide administrative support to nursing teams and respond to enquiries via telephone, correspondence, and online channels within agreed time limits.
  • Manage and prioritize workload, establish and maintain electronic filing systems and use Systm One, Microsoft Office, Teams, and Cisco Jabber.
  • Prepare agendas, update action logs, take minutes at internal meetings, book meeting rooms, and liaise with representatives.
  • Input generic data into organisational systems and in‑house records, receive and action queries promptly.
  • Process referrals via telephone, email, and online, offer appointments with clinicians, cancel and amend appointments, and send email/SMS communications to patients.
  • Order supplies, manage stock rotation, perform MEMS and other equipment audits, and create equipment/supply packs for nurses.
  • Produce phase reporting for complaints and compliments, Power BI reporting of 18‑week waits, and health roster reporting on sickness.
  • Book clinics and cover other Admin Hubs at various locations as required.
  • Communicate effectively with a range of people on the telephone, recognizing barriers to communication.
  • Ensure complex calls from anxious and distressed clients are passed to an appropriate person or escalated to senior staff.

Probationary Period

This post is subject to a probationary period.

High Cost Area Supplement

Outer London: 15% of the basic salary (minimum £4,313 to maximum £5,436 per annum pro rata for part‑time).

Fringe: 5% of the basic salary (minimum £1,192 to maximum £2,011 per annum pro rata for part‑time).
