Overview
The School of Engineering is seeking a proactive and organised Administrative Assistant to join our Staff Administration Team. This role is varied and involves ownership of key administrative processes, with a focus on recruitment and HR support. The post is based on the University campus in Coventry with hybrid-working arrangements; the successful candidate will be on site for a minimum of the first three months and on campus at least 80% of the time thereafter on a team rota.
Responsibilities
- Manage end-to-end recruitment processes for permanent and temporary staff, acting as a key liaison for hiring managers, HR teams, and candidates.
- Provide high-quality administrative support to senior colleagues, including the School’s Research Cluster Leads and Directors of Teaching.
- Service committees, take minutes, coordinate and attend meetings, and support key academic events.
- Work independently to own and complete administrative activities from start to finish.
- Support a positive and collaborative team culture within the School and wider administrative teams.
- Handle confidential and sensitive information with diplomacy, tact and empathy, demonstrating awareness of equality, diversity and inclusion (EDI) considerations in recruitment and administration.
- Demonstrate accuracy, time-management and organisational skills to prioritise workload and meet deadlines.
About You
- Proactive, highly organised and experienced administrator, ideally with experience in Higher Education or HR.
- Excellent communication skills with the ability to interact with a diverse range of people.
- Customer-centric approach and commitment to delivering excellent service.
- Ability to influence and support senior staff, with the capability to work independently and manage competing priorities under pressure.
- Willingness to contribute to a positive and collaborative team culture.
- Discretion handling confidential information and an understanding of EDI issues as they impact recruitment and administration.
Qualifications & Requirements
- Experience supporting senior staff and coordinating complex administrative tasks.
- Strong attention to detail and flexibility to handle a wide range of tasks.
- Ability to operate in a role that requires on-campus presence and coordination of meetings and events.
