Job summary

NHS Professionals is seeking an Administration Officer in Sheffield to support the NHS Trust with patient appointment bookings, transport arrangements, and efficient handling of calls and correspondence. The role emphasizes patient confidentiality, accurate data handling, and timely communications across the busy contact centre.

Qualifications

  • Experience speaking to patients or customers face to face and over the phone.
  • Experience using Microsoft Office applications.

Responsibilities

  • Be responsible for contacting patients by letter and/or telephone to confirm and book appointments and hospital transport arrangements, adhering to the Trust policy concerning patient confidentiality.
  • Receive and make telephone calls via the busy contact centre. Divert calls and take messages, ensuring accuracy of detail and prompt delivery.
  • Ensure all outgoing patient correspondence is accurate and sent in a timely manner.
  • Deal with telephone enquiries, mail/ email promptly and efficiently.
  • Process incoming referrals from various sources accurately and in a timely manner.

Job Title: Administration Officer

Hours: Monday - Friday 4 longer days 8am-6pm with day off in week. 37.5hrs per week

Location: Sheffield Teaching Hospitals NHS Foundation Trust

Trust Location: Northern General Hospital - Herries Road, Sheffield, South Yorkshire, S5 7AU

Contract Type: Temporary until December 2026

What you'll be responsible for:

You’ll learn the following whilst working at the trust.

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
  • Previous experience of speaking to patients/customers both face to face and over the phone.
  • Previous experience of using Microsoft.
