Job summary

Cumbria, Northumberland, Tyne and Wear NHS Foundation Trust (CNTW) invites applications for Administration Officer roles. Vacancies include full-time 37.5 hours per week and part-time 30 hours and 22.5 hours, based at Lillyhall, Workington and Carleton Clinic, Carlisle.

The post supports multi-disciplinary clinical teams with a focus on customer service and accurate admin tasks. The role requires Microsoft Office proficiency, excellent typing, and experience in a busy environment.

Qualifications

  • 12 months' recent administrative/secretarial experience
  • Experience in a customer/patient focused environment (face to face and telephone)
  • General administrative duties with fast, accurate typing/keyboard skills
  • Diary management and minute taking experience
  • Ability to be self-directed, motivated and work within a team
  • Flexibility to handle changing tasks at short notice
  • Confidential handling of information and strong communication skills

Responsibilities

  • Provide administrative support to multi-disciplinary clinical teams
  • Demonstrate fast, accurate typing and formatting letters/reports
  • Manage diaries and take minutes at meetings
  • Deliver excellent customer service to service users face to face and by phone
  • Undertake a variety of admin duties as assigned by the Pathway Co-ordinator/Team Lead/Administration Manager
  • Ensure mobility between sites within North and West Cumbria as required

Job overview

Applications are invited from suitably qualified and experienced admin candidates to join our busy administration team. We currently have vacancies for a full time 37.5 hrs per week Band 3 Administration Officer, a part-time 30 hrs per week Administration Officer and a part time 22.5 hrs per week. 1 Based in Lillyhall, Workington & 2 at the Carleton Clinic, Carlisle.

This is a busy service and the successful post holder will be a member of the administration team supporting multi-disciplinary clinical teams to provide a comprehensive, high quality administrative service. A good knowledge of Microsoft packages and excellent typing skills are essential for this role.

The post holder must facilitate excellent customer service and be confident in dealing with service users face to face as well as on the telephone. You will undertake a variety of admin duties as assigned by the Pathway Co-ordinator/Team Lead/Administration Manager.

Candidates are required to meet the mobility requirements for this post as travelling between sites in North and West Cumbria may be necessary.

Main duties of the job

Candidates will be responsible for administrative functions and must have demonstrable recent 12 month experience including, but not limited, to the following: (see job description for further information):

  • You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you will not be shortlisted.

Candidates must be adaptable, work well as a team and provide a positive patient experience which are essential skills for the role of Administration Officer.

Education and Qualification

Essential criteria

  • Word-processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) eg; NVQ Level 3 Level 3 in Business Administration (or equivalent)
  • Audio Typing qualification or demonstrable equivalent experience
  • General level of education to O-Level/ GCSE or equivalent

Desirable criteria

  • NVQ Level 3 Level 3 in Customer Care (or equivalent)

Knowledge and Experience

Essential criteria

  • Knowledge of NHS Policies and Procedures
  • Working knowledge of Microsoft applications, including Word, Outlook and Excel
  • Ability to maintain and update Patient Information Systems e.g. RiO
  • Good working knowledge of office procedures
  • Previous secretarial/clerical experience
  • Ability to uphold confidentiality at all times
  • Able to prioritise and plan own workload

Desirable criteria

  • Experience using stock ordering systems and petty cash systems
  • Experience of working with medical records filing systems
