The Role

This role will provide comprehensive administrative and communication support and direct assistance to the executive team, incl. meeting minutes, coordination of purchase orders, documentation of processes, and management of internal communication.

  • Salary: Up to £30,000 per annum
  • Working Hours: Monday - Friday, 9am - 5.30pm

The work – Your 4 most important responsibilities
  • Administrative support – coordinate and manage administrative activities such as meeting minutes, travel, meeting coordination and internal documentation and ensure all stakeholders are furnished with core information to enable smooth operations.
  • Executive Support – Provide confidential administrative assistance to the executive team, including diary management, meeting preparation, Board minutes, NDA management and follow‑up actions.
  • Communication Support – support internal and external communication, respond to requests and ensure communications are delivered on time and to a high standard.
  • PO and Financial administration – manage financial transactions on behalf of executive team including POs, procurement, invoice and expenses reconciliation.
Accountability – what you are responsible for delivering
  • Manage calendars, schedule meetings, and coordinate appointments for Executive Team as required
  • Coordinate email communications and bookings for Board meetings and other Executive eventsPrepare meeting minutes and ensure they are communicated promptly and to the right audiences
  • Prepare and format documents, reports, and presentations
  • Maintain filing systems (digital and physical) and ensure records are up to date
  • Organise and reconcile travel or Executive Team and Board members as required
  • Assist with event planning and logistics
  • Coordinate executive communications and ensure timely responses to internal and external requests
  • Prepare briefing documents and support board‑level meetings as required
  • Draft, edit, and distribute internal communications (emails, newsletters, announcements)
  • Liaise with stakeholders, clients, and suppliers professionally and efficiently as required
  • Monitor and respond to general inquiries
  • Raise and process purchase orders in line with company procedures, track and reconcile purchase orders and invoices
  • Liaise with finance and procurement teams to ensure timely approvals and payments
  • Maintain accurate records of purchases and vendor communications
  • Create and maintain clear documentation of administrative and operational processes
  • Organise shared drives, folders, and documentation for easy access and version control
  • Manage and update content on the company intranet, ensuring information is current and accessible
  • Coordinate with departments to gather updates and publish relevant internal news and resources
