Activities Coordinator (Operations)

Job Description

We are currently looking for an impassioned and self‑driven individual to join our activities team to deliver exceptional service to our students by engaging with over 350 student groups that provide a world‑class range of opportunities. The role coordinates the creation of new student groups, manages funding opportunities, leads onboarding for new committee members, and oversees administration for the minibus fleet. You review, advise on, and approve society event/trip budgets and finance in collaboration with the Activities (Events) Team, support clubs and societies to manage their finances, and review sponsorship contracts to ensure alignment with College and Union policies. A significant part of the role is to deliver the annual budgeting process in line with Imperial College Union’s grant allocation and financial policy, while supporting student‑led groups to plan budgets effectively.

Responsibilities
  • Coordinate the creation of new student groups and manage funding opportunities.
  • Lead onboarding for new committee members and oversee minibus fleet administration.
  • Review and approve society event/trip budgets and finance, collaborating with the Activities (Events) Team.
  • Support clubs and societies in effectively managing their finances and reviewing sponsorship contracts.
  • Deliver the annual budgeting process in line with Imperial College Union’s grant allocation and financial policy.
  • Provide support to student‑led groups in planning budgets and financial processes.
  • Deliver training related to financial processes for student groups.
Qualifications
  • Strong organisational ability and methodical approach to managing information.
  • Refined interpersonal skills and experience delivering excellent customer care.
  • Experience with financial systems and supporting financial administration.
  • Ability to work independently while balancing competing priorities.
  • Familiarity with youth or student leadership is desirable.
