Overview

Events Specialist

As part of our ambitious growth strategy, Top Employers Institute is looking for a hands-on, detail-oriented Events Specialist to support the planning and delivery of events across the globe, with a focus on delivery in Southern Europe, Eastern Europe, and Middle East regions. Reporting into the Head of Events (based at HQ in Amsterdam) with a dotted line into the regional marketing manager, you will play a vital role in executing engaging, high-quality experiences that support client engagement, recognition, and business growth. This role is ideal for someone with strong project management skills, experience in event production (both online and in-person), and a proactive, collaborative mindset. You’ll work closely with regional and global colleagues, as well as external vendors, to bring our event concepts to life, from flagship client Certification Celebrations to targeted sales and executive events. Success in this role will be measured by contribution to client retention and renewals, pipeline growth, event satisfaction and engagement, and stakeholder satisfaction.

Key responsibilities
  • Event execution & logistics – End-to-end production of regional events, including Certification Celebration, People Summits, Executive Dinners, sales events and sponsorships
  • – Manage logistics, venue and vendor coordination, registration, timelines & budgets
  • – Ensure brand consistency and event quality across all touchpoints
  • – Collaborate with HQ teams on event formats, playbooks and creative assets
  • – Oversee on-site delivery, troubleshooting, and delegate experience
Stakeholder coordination & communications
  • – Act as the main point of contact for regional events, liaising with the regional marketing manager, head of events, content and campaign teams, client success, and commercial teams
  • – Ensure clear roles, timelines & communication with regional & global stakeholders
  • – Prepare briefing documents, project timelines and wrap-up reports
Content & collateral coordination
  • – Support the localisation and production of event content in line with central guidelines and following the content roadmap
  • – Coordinate with speakers, internal contributors and content teams
  • – Ensure all materials are prepared, approved, and available ahead of each event
Process improvements & reporting
  • – Track and report on event performance and ROI
  • – Contribute to the continuous improvement of processes, tools and templates
  • – Ensure compliance with internal policies and event best practices
Key Success Competencies

Qualification Criteria
  • – Minimum 3 years’ experience in event planning/production, ideally in a B2B or international context

  • – Comfortable working across cultures and time zones
  • – Strong communication skills in both Spanish and English (required); Italian or another regional language is a plus
  • – Willingness to travel for events as needed
