Overview
A Japanese trading company seeks a Secretary & Administrator at their office in Amsterdam.
The position-holder will work closely with and assist in the day-to-day activities of the CEO. Additionally, will support the other Administration departments in the Amsterdam office and support the other expatriates.
Fluent English and Dutch is required.
Understanding of Japanese culture and some Japanese skills will be advantageous.

Responsibilities
- PA to the CEO: Arranging all aspects of the CEO’s business trips including flights, transfers, hotels, and consular arrangements.
- Preparing all aspects of the CEO’s internal and external appointments.
- Arranging claims of the CEO’s expenses and processing related slips, debit notes, etc., for business trips and entertainments.
- Inputting and managing the CEO’s personal income tax return at Deloitte the Global Advantage Organizer, including inputting GA Calendar.
- Looking after the CEO’s residence.
- Sending, receiving, and distributing the CEO’s mail.
- Handling the CEO’s mail, printing required documents, and obtaining signatures related to them, replying and sending.
- Reception of the CEO’s customers.
- Administrator: Inputting booking data and some dates into the Accounting and Finance system.
- Supporting expatriates with benefits such as Expat’s residence, settlement for HQ benefits (Kids’ education cost, language allowance), and accommodating arrangements.
- Handling office facility management as PIC for relevant vendors.
- Reception of customers.
- Managing office supplies including stationery and canteen provisions.
- Managing daily post for all departments (including subsidiary companies in the office).
- Arranging logistics for expatriates and other postal matters.
Qualifications
- Fluent English and Dutch (Japanese language is a bonus, but not essential).
- Good IT skills (Word, Excel, PowerPoint).
- Secretarial experience in the Netherlands is desirable.
- Experience working in a Japanese business environment is highly advantageous.
- Excellent verbal and written communication to deal with internal and external stakeholders.
- Flexible and enthusiastic nature.
- Ability to work effectively across different cultures.
- Self-motivated, proactive, and able to work autonomously.
