Role Overview:
The Site Coordinator is responsible for ensuring that all Contractors execute tasks efficiently, safely, and in an organized manner. This role involves coordinating with contractors before site visits, reviewing work plans, ensuring Permit to Work compliance, managing scope clarity, and arranging on-site support such as resources, scaffolding, cranes, and materials. The coordinator supervises daily activities, plans, and optimizes site operations to minimize downtime, increase efficiency, meet deadlines, and control costs.
Support from a remote center of excellence will be available, providing technical, project management, and other support as required.
Key Responsibilities:
- Lead On-site Construction – Act as the primary contact for all field construction activities, ensuring delivery aligns with client procedures, safety standards, and project goals.
- Promote Safety Culture – Embed HSSE excellence into all activities, lead by example, and ensure compliance with safety regulations and practices.
- Contractor Management & Coordination – Manage daily interactions with contractors, lead coordination meetings, monitor performance, and collaborate to improve delivery and reduce costs.
- Supervise Site Activities – Oversee daily construction work, ensuring adherence to schedules, safety, quality, and environmental standards.
- Project Planning Support – Assist Project Engineers and Managers in early planning, including methodology, scheduling, and budgeting, using site-specific insights.
- Design & Work Package Management – Coordinate design communications, clarify work scopes with contractors, and support work package development.
- Contractor Performance Oversight – Work with client leadership and procurement to set performance expectations and ensure contract compliance.
- Support Procurement Strategy – Provide input on scope definition, commercial structure, and contractor evaluations during pre-qualification and selection.
- Monitor Progress & KPIs – Track performance metrics like HSSE, schedule, cost, and quality, and generate performance reports.
- Lead Meetings & Reviews – Facilitate planning sessions, kick-offs, readiness reviews, and constructability assessments.
- Permit & Readiness Coordination – Ensure all permits, safety documentation, and readiness activities are completed before mobilization.
- Technical & Design Interface – Resolve contractor technical queries through engineering coordination, ensuring clear communication.
- Commissioning & Handover Support – Lead transition activities from construction to commissioning, manage punch lists, and support documentation.
- Documentation & Reporting – Maintain accurate project records, including daily reports, NCRs, as-builts, and invoices.
- Permit to Work Management – Coordinate permits and ensure safety processes are followed.
- Collaborate with Client Operations – Align construction with operational priorities for smooth execution.
- Drive Continuous Improvement – Share lessons learned and promote a culture of efficiency and accountability.
Required Skills & Experience:
- Construction Supervision – 10-15 years in site supervision, asset management, and work pack coordination in industrial or infrastructure projects.
- Education – Trades qualification or engineering degree in a relevant field.
- Leadership & Teamwork – Ability to foster a collaborative, accountable, and motivated team environment.
- HSSE Knowledge – Strong safety awareness and leadership in high-risk environments.
- Project Lifecycle Knowledge – Deep understanding from concept to commissioning, focusing on site readiness and quality.
- Contracting & Procurement – Familiarity with contract types, procurement strategies, and scope structuring.
- Communication Skills – Excellent verbal and written communication, capable of leading discussions and resolving conflicts.
- Stakeholder Management – Experience working with multidisciplinary teams including clients and contractors.
- Document Control & Technical Review – Skilled in managing project documents and safety reports.
- Commissioning Experience – Knowledge of pre-commissioning, handover, PSSR, and MOC processes.
- Problem-solving – Ability to assess and resolve complex site issues efficiently.
- Continuous Improvement – Proven track record of applying lessons learned for future project success.
- Language Skills – Fluent in English (written and spoken), intermediate in German.
