Administrative / Executive Assistant
We are seeking a highly organized, detail-oriented Administrative / Executive Assistant to support both the CEO and Director of Operations at storyoftheseason.com. This role requires someone who is organized, proactive, reliable, and capable of managing multiple responsibilities across departments. The ideal candidate is extremely detail-oriented, communicates clearly and professionally in English, and thrives in a fast-paced environment where organization and follow-through are critical. This position will provide operational, administrative, and project support across the organization, helping ensure internal processes run smoothly and that projects stay on track.
Key Responsibilities
Administrative & Operational Support
- Send and track invoices to clients and maintain accurate payment records
- Monitor outstanding invoices and send professional payment reminders to clients
- Maintain organized records of payments, invoices, and related documentation
- Support the CEO and COO with day-to-day administrative tasks and operational coordination
Project Coordination
- Track project progress across multiple departments
- Maintain and update project statuses within our project management system (Monday.com)
- Ensure tasks and deadlines are documented and communicated appropriately
- Follow up with internal team members to ensure projects remain on schedule
General Support & Special Projects
- Assist with small operational projects and miscellaneous administrative tasks
- Help maintain organization across internal workflows and systems
- Provide cross-functional support to different teams as needed
- Identify opportunities to improve processes and maintain organization across projects
Qualifications
- Bachelor’s degree (4-year degree required)
- Exceptional attention to detail and accuracy
- Strong written and spoken English communication skills
- Highly organized with excellent time management skills
- Ability to manage multiple responsibilities simultaneously
- Self-starter who learns quickly and takes initiative
- Strong reliability and consistency in completing tasks
- Comfortable working with and learning digital tools and project management systems
Preferred Experience
- Previous experience as an Administrative Assistant, Executive Assistant, or Operations Assistant
- Experience working in project management platforms (such as Monday.com, Asana, or similar)
- Experience with invoicing, billing, or financial tracking
- Experience supporting senior executives

Compensation
Compensation will start at $750 USD per month and is subject to raises based on performance.
