Aunt Leah’s Place is looking for a Resource Centre Administrator to be the first point of contact for both the public and the young participants who access our on-site Resource Centre. This hybrid role blends front desk reception with day-to-day oversight of the Resource Centre space—a vital hub that provides support, connection, and essential resources for youth transitioning out of government care.
Greet and support participants, families, and community members—making that first impression count
Collaborate with Case Managers during the intake process and guide new referrals
Schedule workshops, maintain monthly calendars, and support drop-in programming
Answer phone calls, respond to emails, manage general inquiries, and handle supply ordering
Assist with food security programs and promote access to key supports
Enter data, help with program evaluations, and support the Youth Advisory Council in its initiatives
You'll be working closely with a team committed to empowering vulnerable youth, while also keeping the Resource Centre organized, accessible, and running efficiently. It’s a unique opportunity to combine meaningful front-line engagement with practical administrative oversight.
Job Summary : Reporting to the Director of Training and Life Skills, the Resource Centre Administrator is the first point of contact for public and program inquiries. This role helps create a welcoming environment for youth and young mothers connected to government care who may be experiencing trauma or homelessness.In partnership with the Case Manager, the Administrator supports intake, screens new referrals, shares internal and external resources, and helps manage the program waitlist. This position bridges participant support with daily operations of the Resource Centre.Administrative duties include managing phone and email communications, ordering supplies, and directing donor or volunteer inquiries to appropriate departments. The role also involves coordinating workshops, updating activity calendars, promoting and assisting with drop-in services, and supporting food security initiatives. The Administrator attends case management meetings, enters program data, contributes to reports and evaluations, and assists the Youth Advisory Council with presentations and events.

Compensation : $24.50 per hour
Qualifications :
- Post-secondary degree or diploma in child and youth care, social services, or related field
- 1-2 years of experience working in an office environment within the human social services field or an equivalent combination of education and experience as deemed suitable by the employer.
- Minimum 1 year of experience working with high risk, marginalized, vulnerable homeless populations
- Proficient with Microsoft Suite (Word, Excel, Outlook, Google Office Suite (Gmail, Contacts, Calendar, Meet, Google Docs)
- Proficiency in Canva, Adobe Photoshop or similar design tools
Requirements :
- Satisfactory Criminal Record Check (including vulnerable persons) and Local Police Information Check
- Standard First Aid

- Valid BC Driver’s License
- Access to own reliable vehicle
- Clean Driver’s Abstract
- Agrees and adheres to Aunt Leah’s Code of Ethics
Assets :
- NVCI (Non-Violent Crisis Intervention) or equivalent
- Cultural Competency Training
- Knowledgeable in Person Centered Approach
- Sound knowledge and proficiency in relevant databases, spreadsheet, and word processing software.
- Proficiency in the use of various software applications, including Microsoft Office Suite.
- Familiarity with copy machines, fax machines, and other office equipment.
- Familiarity with community-based employment services and alternate community support and crisis care resources.
- Strong ability to multi-task, take initiative, and work independently under pressure.

- Ability to maintain high standards of service delivery and provide exceptional service in day-to-day operations of Aunt Leah’s programming.

Key Duties and Responsibilities :
Administrative :
- Provide a welcoming, informative, and respectful presence to prospective and current participants, vendors, visitors, donors, staff and stakeholders.
- Offers non-judgmental support to prospective and current participants through active listening and demonstrated empathy and understanding.
- Provides accurate information about Aunt Leah’s programs, supports and resources, and community-based resources as needed.
- Provides practical support to prospective participants including assisting with intake forms, providing information about transit system, providing information regarding programs and resources at Aunt Leah’s, and identifying additional needs.
Operations :
- Greet participants and conduct initial assessments to determine their immediate needs and challenges.
- Screen incoming inquiring for immediate needs such as housing, food, healthcare, and mental health support & redirect to external resources.
- Providing basic needs services and support to a constant flow of participants who may need access to emergency food cupboard, emergency toiletries, showers, first aid supplies, harm reduction supplies, sexual health supplies (condoms), in kind donations and wrap around services and supports.
- Gather relevant information to begin the initial intake process.
- Ensure all info-session forms & intake forms and documentation are completed accurately and shared with the Case Manager.
- Provides information to inquiries regarding in-kind donations.
- Maintain and distribute an internal and external newsletter, ensuring up-to-date and relevant information is included.
- Collect and compile a comprehensive list of external resources from all relevant programs to support ongoing communication and resource sharing.
- Provide information on available resources and community services, including external wrap around services.
- Keep the Case Manager up to date on potential participants, complete basic information sessions, and assist with scheduling and following up on client appointments. Assist the Case Manager with scheduling and following up on appointments for clients.
- May support Case Manager in maintain case files and ensuring all documentation is accurate, timely, and secure.
- Offer immediate support in crisis situations as per Aunt Leah’s policies and procedures.
- Collaborate with crisis response teams (management & leadership) when needed.
- Maintain accurate, up-to-date records in accordance with privacy policies.
- Assist in preparing reports for Manager of Metrics & Data Analysis, managers, and other stakeholders as required.
- Gathers and tracks reporting metrics, including supplies inventory, emergency cupboard items, bus tickets, referrals and inquiries, etc.
- Work closely with other staff members, including case manager, program partner ships (Dans Legacy, Fraser Health, etc.), program teams.
- Attend team meetings and participate in collaborative efforts to improve service.
- Supports Youth Advisory Committee (YAC) meetings, taking attendance and ensuring meeting spaces is ready for meetings; supporting related presentations and activities.
- Coordinate and support various events, including the Christmas party committees, summer family picnic, youth in care celebrations, Christmas hampers, YAC activities (such as Christmas and Halloween parties), staff development, and external events like Orange Shirt Day in partnership with the Spirit of Children.
Physical Demands :
- This position includes sitting at a desk using a computer; and may include some occasional physical work moving and / or lifting objects up to 50lbs.
Working Conditions :
- This position may require working occasional evenings and weekends and travel to various locations within Metro Vancouver.
- Works primarily in an office setting; Hours of work – 37.5 hours per week (7.5 hours a day) generally Monday to Friday (9 : 00 am to 5 : 00 pm); with the ability for flexibility as per operational needs.
- On-call as scheduled on the on-call roster.
