Overview

Position Title: University Libraries Coordinator
Job Category: Support Staff
Full Time/Part Time: Full Time
Division: Dean of the Faculty
Department: Library - Administration
Location: On-Site – expected to work fully at the designated campus/office location.
Salary: $22.00 - $24.00 / hour

Responsibilities

Accountabilities include the coordination of the daily and ongoing operations of the Colgate University Libraries. Serve as a lead with other support staff within the division. Responsible for developing work procedures and training others. Responsible for distributing work to others, maintaining quality control and ensuring deadlines are met.

  • Greet visitors and ensure the reception area creates a welcoming environment.
  • Ensure efficient execution of administrative procedures and processes central to the division/function.
  • Respond in a timely manner to requests for information and refer to other resources as appropriate.
  • Manage calendars, itineraries, contacts and correspondence of division/function.
  • Coordinate with vendors and service providers; assist with onboarding new employees; maintain adequate office supplies and other material required for the operation of the division (research services and pricing, quotes, PO creation and requisitions, timely payment).
  • Maintain divisional records, research information, analyze data, prepare reports, edit and format documents and presentations, and produce standard reports.
  • Oversee divisional/function communication (website maintenance, newsletters, posters, invitations, etc.).
  • Plan and execute divisional/function events and functions, including travel arrangements.
  • Monitor divisional/function budgets and report on status, variances, and potential issues.
  • Build and/or room schedule management and service requests, as required.
  • Oversee work and schedules of student or casual wage employees, including processing web time entry.
  • May be responsible for other responsibilities, special projects, committees and work unique to the department, division or function.
Qualifications
  • A minimum of three years of administrative experience with progressive responsibilities is required.
  • Keen interpersonal skills and exceptional judgment to facilitate collaboration and communication among diverse groups; ability to handle confidential documentation with discretion.
  • Ability to multi-task and adapt to changing priorities.
  • Excellent written (including editing and proofreading) and oral communication skills, including dealing effectively with a wide range of constituencies.
  • Proven ability to complete tasks accurately and on time.
  • Knowledge of the Google Suite and advanced proficiency with MS Office (Word, Excel, PowerPoint).
  • Demonstrated planning and organizational skills.
  • Requires a high level of professionalism and discretion.
Preferred Qualifications
  • Experience using survey software is beneficial.
  • Experience using image/design software (e.g., Canva, Adobe, etc.) is preferred.
  • Experience with budgeting software is beneficial.
Education

A minimum of an Associate’s degree or a combination of education and experience from which comparable skills are attained is required.
