Qualifications

  • 2 to 5 years of experience in a mechanical, equipment, service, or shop environment.
  • Previous Service Writer, Service Coordinator, or Service Administrator experience is an asset.
  • Strong computer skills including Excel and Office applications; capable with email and documentation.

Responsibilities

  • Provide professional, courteous service to customers and coordinate their service needs.
  • Receive and log service calls for field technicians and dispatch as required.
  • Maintain accurate information on technician locations to support field operations.
  • Coordinate shop and field work orders with the Shop Foreman and Service Manager.
  • Support parts allocation and billing in collaboration with the Parts team.
  • Open, update, and close work orders; process invoices and related paperwork.
  • Maintain organized service documentation and equipment records.

Build your career with us We are looking for a highly organized and customer-focused Service Writer to join our team in Prince George, BC. This is a great opportunity for someone with experience in a mechanical, equipment, shop, or service environment who enjoys working with customers, technicians, and internal teams to keep operations running smoothly. As the Service Writer, you will play a key role in coordinating service activities, maintaining work orders, supporting our field and shop technicians, and ensuring customer invoicing and service documentation are completed accurately and on time. This is a full‑time, Monday to Friday, in‑office position based in Prince George.

What You'll Do
Customer Service & Service Coordination
  • Provide professional, courteous service to new and existing customers, responding to inquiries and helping coordinate their service needs.
  • Receive and log service calls for field technicians.
  • Dispatch field technicians and maintain accurate information on technician locations to support safe and efficient field operations.
  • Build strong working relationships with customers, employees, technicians, and other internal teams.
  • Work closely with the Shop Foreman to coordinate and maintain control of shop and field work orders.
  • Coordinate the scheduling of lube technicians and maintain the shop service board.
  • Work with the Parts team to support accurate parts allocation and billing.
  • Maintain records for customer-owned equipment.
  • Coordinate equipment exchanges when required.
Work Orders & Administration
  • Open, update, close, and process work orders accurately and efficiently.
  • Prepare and process customer invoices, ensuring all billable documentation is complete and accurate.
  • Keep field work orders and supporting paperwork current and organized.
  • Retrieve, file, and maintain service documentation and SMFs.
  • Update equipment statuses within internal systems.
  • Track and follow up on customer purchase orders.
  • Coordinate NDT requirements and maintain accurate records of units requiring NDTs.
  • Provide shop technicians with the paperwork and information required for their day-to-day work.
  • Work with the Service Manager and Shop Foreman to identify cost-effective processes and support efficient branch operations.
  • Maintain accurate and organized documentation for all service transactions.
What You'll Bring
  • 2 to 5 years of experience in a mechanical, equipment, service, or shop environment.
  • Previous Service Writer, Service Coordinator, Service Administrator, or similar experience is considered an asset.
  • Strong computer skills, including experience with: Microsoft Excel Microsoft Office applications Email and electronic communication Inventory or service management systems RentalMan or similar systems is considered an asset
  • Strong reading, organizational, and administrative skills.
  • Excellent attention to detail and accuracy.
  • Strong customer service and communication skills.
  • Ability to prioritize competing demands and meet deadlines in a fast‑paced environment.
  • Ability to work effectively with minimal supervision while contributing to a team environment.
  • Professional, dependable, and committed to maintaining high ethical standards.
Work Environment

This position works in a fast‑paced service environment where priorities can change throughout the day. The role involves working under deadlines, completing detailed and repetitive administrative tasks, and sitting for extended periods. You may also be required to enter shop or operational areas where appropriate PPE must be worn.
