Job Description
What You'll Be Doing
Service Coordination
- Coordinate service and repair activities from initial customer request through job completion.
- Open, track, and maintain service work orders and job documentation.
- Review customer requirements, service history, and supporting information to ensure repair plans are accurate.
- Support scheduling and planning activities to help service teams meet customer commitments.
- Monitor job progress and identify potential delays, risks, or issues.
- Coordinate transportation, parts movement, and third-party contractors when required.
Administrative Support
- Maintain accurate records and real-time updates within company systems.
- Manage document control and ensure all service records are complete and accurate.
- Support warranty, invoicing, and billing processes.
- Prepare reports, meeting materials, and job documentation.
- Assist with site access requirements, training records, and contractor documentation.
Customer & Stakeholder Communication
- Provide regular updates to customers and internal teams on job status.
- Respond to service-related inquiries in a professional and timely manner.
- Participate in planning and scheduling meetings.
- Capture and track action items to ensure timely completion.
- Build strong working relationships with customers, technicians, supervisors, and support teams.
What You Bring
Qualifications & Experience
- Post-secondary education in Business Administration, Office Administration, Accounting, Project Coordination, or a related field is considered an asset.
- 2-4 years of experience in a coordination, administration, service support, project support, or operations role.
- Experience in industries such as construction, heavy equipment, mining, oil and gas, forestry, transportation, or industrial services is an asset.
Nice to Have
- Understanding of heavy equipment, mechanical repair processes, parts, or service operations.
- Experience supporting work orders, invoicing, warranty administration, or project coordination.
- Familiarity with customer service or field service environments.
