Job description

We have been a small, locally-owned, industry-leading specialty construction/mechanical company since 1979. We are seeking a Project Coordinator with a municipal or mechanical background. You will report directly to the owners, where real-time problem solving and quick responses are prioritized. You are a valued individual, not just a number, with opportunities for career advancement.

We are looking for a client-focused Project Coordinator with strong problem-solving skills to communicate effectively with clients and crews. Daily tasks include hydrant reporting, data management, material coordination, and safety documentation. Responsibilities also involve handling job scheduling, simple quoting, tracking project progress and changes via phone and email. The ideal candidate must excel in communication, remain calm under pressure, multitask efficiently, and act independently. The goal is to facilitate clear communication among all parties by ensuring accurate and timely information exchange.

Key Responsibilities:
  1. Receive emergency and non-emergency calls and emails.
  2. Book jobs in our project management software (SiteMax) and assist with crew coordination.
  3. Price jobs using project estimating software (QuickBooks).
  4. Assign inventory to specific projects and order stock through our PO system (QuickBooks).
  5. Coordinate material transportation with courier or transport companies.
  6. Maintain hydrant reporting logs.
  7. Assist the Safety Officer with site-specific documentation.
  8. Review EDL logs and follow up on discrepancies with drivers.
  9. Email clients technical information such as shop drawings, specifications, and videos.
  10. Forward calls and emails to appropriate staff for engineering and non-standard projects.
  11. Address problems and requests by transmitting information or providing solutions.
  12. Prioritize calls based on urgency and importance.
  13. Monitor crew status to assist with schedule prioritization.
  14. Assist accounting with billing processes.
  15. Support engineering and special projects team with bids.
  16. Perform duties as assigned.
Qualifications & Skills:
  • Previous experience as a dispatcher or project coordinator preferred.
  • Knowledge of mechanical and civil underground construction is beneficial.
  • Proficient in project management (SiteMax), estimating and billing (QuickBooks), and CRM software (HubSpot).
  • Fast typing and data entry skills.
  • Understanding of emergency procedures and guidelines.
  • Proficient in English (oral and written).
  • Excellent organizational and multitasking skills.
  • Active listener with strong communication skills.
  • Customer-focused problem solver.

Salary:

$60,000.00 - $70,000.00 per year
