The Project Coordinator Role

The Project Coordinator is responsible for managing project deliverables to support the achievement of project objectives throughout the project lifecycle. Assignments may vary based on project complexity and risk, especially for higher complexity/risk projects. Additionally, the Coordinator supports the PMO through project administration tasks as required.

Responsibilities
Project Administration
  • Maintain project files and related records.
  • Assist the FCT in managing project budgets and distribute financial information internally to evaluate project performance against the baseline.
  • Process sales orders, transmittal forms, and documents.
  • Under the FCT's guidance, set up new projects, review, and reconcile project accounting data within the ERP system.
  • Perform various administrative tasks including timesheet setup, document control, meeting minutes, tracking action items, and maintaining project data.
Project Coordination
  • Understand, monitor, and deliver project scope according to contractual requirements.
  • Communicate with customers regarding project scope and schedules.
  • Create and manage project schedules and resources using P6.
  • Track project budgets and hours, escalating variances as needed.
  • Assign tasks to engineering, purchasing, and production teams.
  • Assist Project Managers with reports and documentation.
  • Report project progress to internal and external stakeholders as directed.
  • Participate in engineering meetings as required.
  • Ensure projects are delivered on schedule, within scope, and within budget.
  • Track invoices and customer payments.
  • Support project planning, scheduling, and resource management.
  • Input costings into P6 for project schedules.
  • Adhere to the Systems Delivery schedule for reporting activities.
  • Perform other coordination tasks as needed.
Knowledge & Qualifications

Education: Business-related university degree or college diploma, with coursework in accounting or business.

Experience: Over four years of relevant work experience.

Skills: Excellent interpersonal and communication skills; understanding of project scope; ability to work independently; good judgment and problem-solving skills; stakeholder management; high accuracy; detail-oriented; deadline-driven; advanced Microsoft Office skills; multitasking ability; working knowledge of general accounting software; practical experience with Primavera P6.

Other: Familiarity with contracts, change orders, etc.
