Who You Are
IT Project coordinators at Jolera work closely with project team members, managers, and stakeholders, assisting in the delivery of professional service projects of varying levels of complexity. They manage administrative tasks, such as documentation and information distribution, compiling report details, project communications, and driving organizational aspects of a project.
This role involves working closely with project managers to ensure all administrative tasks are up to date, often multitasking across several projects simultaneously. The ideal candidate will have significant experience supporting multiple project managers in a busy PMO environment.
What You’ll Do
- Support a team of project managers
- Plan, organize, and follow up on daily activities to ensure project deadlines are consistently met
- Organize and attend various stakeholder meetings
- Take meeting minutes and distribute to participants
- Document and follow up on important project actions and decisions from meetings
- Coordinate project resources
- Prepare project materials in partnership with project managers
- Collect information for project updates
- Keep all project notes up to date
- Perform billing tasks
- Participate in forecasting the probability of meeting milestone dates with project managers and senior management
- Create and follow up on Change and Procurement requests
- Proactively identify and escalate issues and risks that may impact project success
- Ensure internal systems are kept up to date with project status and enforce project time entries
- Provide administrative support for assigned projects
Qualifications
- Minimum 3 years of IT project coordination experience
- Experience supporting multiple project managers simultaneously
- Experience managing priorities across multiple projects
- Exceptional organizational skills to track tasks, deadlines, and progress
- Results-driven with strong multitasking abilities and a sense of urgency
- Knowledge of administrative procedures
- Ability to work in a fast-paced environment with tight timelines
- Strong communication skills
- Excellent organizational and analytical skills
- Proficiency in MS Office tools (Excel, Word, PowerPoint) and project management tools like MS Project
- Experience in distributed deployment projects across multiple sites, regions, and time zones
- Experience working in a collaborative environment, preferably in IT consulting
- Effective communication with global team members and clients from diverse disciplines
- Fluency in English, both spoken and written, with strong presentation skills
- Ability to work independently and as part of a team
