Job Title: Payroll Specialist
Job Summary: We are seeking an experienced Payroll Specialist for our client in Woodbridge. This full-time, on-site, temporary-to-permanent role requires a highly independent professional to manage full-cycle payroll and ensure accuracy, compliance, and timeliness. The successful candidate will help document, stabilize, and improve payroll processes in an evolving environment, operating without day-to-day oversight. This role involves close collaboration with HR, Finance, and operational teams to deliver efficient and compliant payroll services across the organization.

Job Type: Temporary to permanent, ongoing role. 100% on-site.
Shift Structure: Approx. 8:30am-4:30pm; Monday to Friday
Compensation Structure: $80,000 to $90,000 with a discretionary bonus.
Responsibilities
- Operate independently within an evolving payroll environment with limited documentation, serving as the primary payroll subject-matter resource.
- Assess, design, document, and stabilize payroll processes, controls, and workflows to ensure accuracy, compliance, and sustainability.
- Apply a continuous-improvement mindset to identify risks, inefficiencies, and opportunities for process enhancement or automation.
- Collect, review, and process payroll for hourly and salaried employees, including off-cycle payrolls and special payments.
- Ensure accurate and timely processing of earnings, deductions, bonuses, retroactive adjustments, garnishments, and advances.
- Calculate, remit, and reconcile statutory deductions, including CPP, EI, income tax, and WSIB premiums.
- Administer payroll-related benefits, taxable benefits, and deductions in accordance with established policies.
- Maintain accurate and confidential employee payroll records, including new hires, job changes, leaves, terminations, and ROEs.
- Prepare year-end payroll reporting, including T4s and required summaries.
- Generate payroll, labour cost, overtime, and benefit reports for HR, Finance, and leadership.
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner.
- Support internal and external audits through documentation and reconciliations.
- Collaborate with HR, Finance, and operational leaders to ensure accurate payroll reporting across multiple worksites or jurisdictions.
- Other duties as assigned.
Skills/Qualifications
- Minimum of 8 years of hands-on experience with ADP Workforce Now, including full-cycle payroll processing and year-end activities.
- Strong knowledge of Canadian payroll legislation and compliance requirements, including CRA, ESA, CPP, EI, WSIB, and statutory remittances.
- Proven ability to operate independently in an environment with limited documentation, building structure, processes, and stability where needed.
- Experience processing payroll for diverse employee groups, including hourly, salaried, unionized, contract, and seasonal employees.
- Advanced Excel skills, including pivot tables, IF/THEN logic, reconciliations, reporting, and data validation.
- Exceptional attention to detail and data integrity, with the ability to identify discrepancies and ensure audit‑ready payroll records.
- Demonstrated ability to assess, improve, and automate payroll processes to enhance efficiency, accuracy, and compliance.
- Strong communication and collaboration skills, with experience partnering effectively with HR, Finance, and operational leaders.
