Qualifications

• Experience as a coordinator/dispatcher/office manager.
• HVAC/construction/service industry experience asset.
• Strong organizational and scheduling skills.
• Excellent communication and customer service abilities.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Office and general business software.
• Detail-oriented with strong problem-solving ability.

Responsibilities

• Coordinate daily schedules for technicians and service teams.
• Dispatch service calls and ensure timely communication with field staff.
• Support operations manager with job tracking, scheduling, and workflow planning.
• Assist with work order creation, job documentation, and service reports.
• Maintain accurate operational records, files, and internal documentation.
• Communicate with customers regarding service appointments and updates.
• Assist with purchase orders, parts coordination, and vendor communication.
• Support inventory tracking and coordination with warehouse/truck stock.
• Help ensure projects and service jobs stay organized and on schedule.
• Provide general office coordination support to operations and leadership.
