JOB DESCRIPTION

As a close-knit team all roles are highly interactive with other individuals and functions within the firm. You can expect to work alongside all staff including the executives of the company. This is a unique opportunity to join the organization from the ground floor and have an impact on the developing values and corporate culture.

The ideal candidate is motivated to contribute to the broader objectives of the organization and is motivated to learn, grow, and engage with staff, partners, and advisors. They are comfortable taking ownership of their responsibilities, interacting with various aspects of a dealer, and expanding their experiences beyond direct supervision to better integrate their role across the firm. This individual demonstrates strong attention to detail, approaches their responsibilities with professionalism, and remains open to new perspectives and evolving approaches to assessing and managing risk.

RESPONSIBILITIES
Human Resources
  • Assist with onboarding new employees
  • Serve as a liaison between staff and management
  • Participate in evaluating employee embodiment of the company’s core values
  • Support the cultivation of a fun and great culture while maintaining a professional office environment in tone, appearance, and conduct
  • Coordinate internal meetings and events
  • Coordinate staff recognition and incentive structures
  • Monitor and support a positive and professional work environment
  • Coordinate hiring alongside department heads
Office Management
  • Co-ordinate advisor and guest requests related to office access and usage
  • Act as the primary point of contact with property management
  • Oversee day-to-day office operations and procedures (e.g. fob access, passcodes)
  • Ensure equipment and facilities are properly maintained (i.e. furniture/cleaning services)
  • Order and manage office supplies inventory letterhead, envelopes, water, coffee, etc.
  • Coordinate seasonal or celebratory office initiatives
Administration
  • Process incoming and outgoing mail
  • Manage office budgets and track related expenses
  • Process invoices, purchase orders, and expense reports related to office operations and certain HR functions
  • Liaise with payroll for HR updates, and proper record keeping
  • Liaise with HR resources for employee record management and other ad hoc HR
Compliance & Policies
  • Ensure adherence to health, safety, and security protocols
  • Maintain confidentiality of sensitive and proprietary information
KNOWLEDGE AND EXPERIENCE
  • Regardless of experience, we provide specific training and ongoing development to all employees to ensure that knowledge and experience is applied consistently throughout the organization
  • HR Credentials considered an asset (Chartered Professional in Human Resources)
  • At least 5 years managing the HR functions of a business, or department
  • Experience in the Investment Industry is preferred
  • Bachelor’s degree in business administration, HR, or similar field of study
  • Ability to work efficiently and accurately in a fast‑paced dynamic environment with a sharp eye for detail
COMPENSATION & POSITION DETAILS
  • Salary range from $85,000 - $95,000 per annum
  • This is a newly created role that is currently vacant
  • We do not use AI in the screening of candidates
Note

This position is based at our Toronto office in the downtown core; occasional business travel to our Peterborough office is required.
