Human Resources Coordinator (HR Department) – Calgary, AB
Job Summary
We are currently looking for a dynamic and experienced Human Resources (HR) Coordinator to join the Calgary HR Department. The HR Coordinator is responsible for building integral and strong relationships with all members of the Firm. The HR Coordinator will provide general human resources, payroll & benefits, and administrative support to the Human Resources Department and to the office. The candidate will have a strong work ethic, be collaborative, professional, adaptable, positive and interested in their work.
Hours of work are from 8:00 a.m. to 4:00 p.m.. Occasional pre-authorized overtime may be required to meet business needs.
Hybrid remote work arrangements are available with requirements as per business needs for onsite office support. Fasken Calgary has a mandatory requirement of three (3) days in office and up to two (2) days remote, work permitting. The successful candidate must live in or around Calgary, AB and be able to commute to the office as often as required. While this is a hybrid role, the majority of the work may be onsite.

Primary Responsibilities
- Provide general day-to-day employee relations support and guidance for Firm members in both the Calgary and Tsuut’ina office locations.
- Maintain computerized personnel records, including employee files and training completions.
- Coordinate with all departments regarding share arrangements, workload and coverage assignments.
- Oversee and approve vacation and leave requests for staff members, maintain ongoing records of entitlement balances and respond to various inquires regarding balances.
- Provide administrative support for regional and Firm-wide recruitment processes, including coordinating interviews, verifying references and conducting background checks through third party process for new hires.
- Provide support and knowledge to all Firm members on the various benefit plans and programs.
- Use of HRIS (Ultipro) software in an administrative user capacity to maintain employee records, run ad hoc reports, prepare new hire onboarding and other functionalities, as required.
- Coordinate full onboarding process for new hires, including communications with applicants post offer, access set up, equipment requests and carrying out other internal processes with various departments.
- Receive, process and maintain records of applicable wellness, transportation and continuing education subsidy reimbursements for Firm members.
- Use of internal PeopleFlow software to communicate employee lifecycle changes to various departments.
- Provide ongoing support to the HR Department in maintaining Calgary HR Intranet page and updating personnel profiles, as required.
- Support HR Department employee retention initiatives, including organizing staff appreciation and recognition functions throughout the year, arranging gifts and communicating service anniversary recognitions, as needed.
- Coordinate Calgary and Tsuut’ina office First Aid attendants, Emergency Wardens and monitors, organize supplies, gifts and trainings for the offices.
- Other tasks and involvement in HR projects and initiatives, as required.
Required Knowledge And Experience
- University degree and/or College diploma in Human Resources with a minimum of two (2) to three (3) years of related HR experience.
- Experience working in a law firm or other professional services environment is considered an asset.
- Current knowledge of human resources functions and legislation.
- Strong knowledge of software applications, such as the Microsoft suite: Word, Excel, Outlook, PowerPoint.
- Knowledge and experience using an integrated HRIS software is considered an asset.
- Strong interpersonal and communication skills (written and oral).
- Strong sense of judgement and ability to protect confidential and sensitive information.
- Ability to manage time, sharp sense of organization, ability to juggle priorities efficiently and manage stress.

- This role reports to the Manager, Human Resources.
