Overview

Reporting to the Manager, Human Resources and as part of the HRIS implementation project team, the Human Resources (HR) Analyst, Benefits will support the implementation of a new HR and Payroll system. The HR Analyst, Benefits will provide support through each phase of our HR systems implementation project, leveraging their expertise in HRIS administration, benefits, pensions, and absences.

This role is key in configuring, testing, and implementing the Benefits module in the new HRIS, ensuring accurate data, efficient processes, thorough documentation, and a positive employee experience related to benefits. The HR Analyst will serve as a primary contact for HR staff, Payroll, OHSW, IT teams, benefit vendors, employees, and stakeholders regarding benefits-related inquiries and issues. The ideal candidate will have excellent interpersonal, problem-solving, and conflict resolution skills, and be able to work effectively both independently and as part of a team.

This position is eligible for remote work two days per week.

Primary Responsibilities

The HR Analyst will play an integral role in the HR project implementation team for a new Human Resource Information System. Key responsibilities include:

  1. Facilitating discussions around benefits workflow within the HR team to optimize efficiencies, reduce waste, and align processes based on HR program planning and design.
  2. Coordinating and participating in requirements documentation and stakeholder meetings to understand current workflows.
  3. Configuring Workday’s Benefits module according to hospital requirements, ensuring data accuracy, system integrity, and compliance with policies, collective agreements, and regulations.
  4. Creating or revising test scenarios related to HR transactions and system changes.
  5. Testing the HRIS solution, supporting reconciliation testing, documenting findings, and collaborating with team members to resolve issues.
  6. Assisting with system integrations related to the Benefits module, working with HR, Payroll, OHSW, IT, and benefit vendors.
  7. Identifying areas for process improvement within the Benefits module and proposing solutions to increase efficiency and effectiveness.
  8. Suggesting system enhancements based on feedback from the project team, HR, stakeholders, and employees to reduce manual work.
  9. Partnering with the project team to develop change management strategies for any impacts on people, processes, or technology.
  10. Generating reports and analyzing benefits data to support decision-making.
  11. Supporting data integrity, cleansing, and implementing system improvements for better data quality and user experience.
  12. Creating and maintaining documentation on system configurations, data procedures, and processes.
  13. Troubleshooting and resolving technical or data issues related to the Benefits module, collaborating with IT and vendors.
  14. Supporting the development of new functionalities and participating in testing for system updates and features.
  15. Partnering with subject matter experts to develop and deliver system training and communication content.
  16. Serving as a benefits subject matter expert on HR system matters.
  17. Researching HR technology best practices and identifying opportunities for process streamlining through system enhancements.
  18. Providing backup support for HR inquiries and administrative duties.

Education

  • Undergraduate degree in Human Resources Management or a related discipline, or equivalent experience.

Qualifications

  • Minimum of three years’ experience in Human Resources, preferably in healthcare.
  • Experience with benefits, pensions, data entry, and HRIS systems like Workday.
  • Understanding of payroll, time tracking, and absence management systems is an asset.
  • Experience in a unionized environment is preferred.
  • Flexible, adaptable, eager to learn, and organized.
  • Results-oriented with strong problem-solving, customer service, and communication skills.
  • Ability to work independently, prioritize tasks, and maintain professionalism.
  • Willingness to work flexible hours, including after hours and weekends.
  • Good attendance record.
