Claims Administrator

The MIABC is looking for an energetic and organized Claims Administrator to join our Claims and Legal team. The MIABC is a member‑owned non‑profit insurance reciprocal that provides liability coverage to over 168 local governments in British Columbia, and property and ancillary coverage to over half of our members.

Job Summary

Provides administrative support to the Claims and Legal department, ensuring claims and related documentation are processed accurately and efficiently. Assists claims examiners and management with file administration, data entry, document handling, and coordination with stakeholders.

Job Duties
  • Open, set up, and close claims and incident files following established procedures and records management standards.
  • Ensure claims and incident files are accurate, complete, properly categorized, and current.
  • Enter and update claims and incident data as needed.
  • Assist with managing the claims general email inbox and triaging claims enquiries.
  • Process service provider invoices and payments according to claims and finance protocols.
  • Manage tracking and follow‑up on outstanding invoices, payments, and documentation, and resolve discrepancies with examiners and service providers.
  • Assist with routine report preparation and ensure documentation meets internal quality standards.
  • Help organize and improve department tracking procedures and administrative processes to more closely align with standards and protocols.
  • Support data maintenance and migration of historic claims and incident files as needed.
  • Comply with MIABC Claims Manual policies, procedures, and internal standards and protocols.
  • Maintain strict confidentiality and adhere to privacy and information management policies.
  • Provide coverage and back‑up support to the Administration department as required.
  • Perform other duties and special projects as assigned.
Position Requirements/Qualifications
  • Minimum two years’ progressive administrative or office support experience in professional services, insurance, claims, legal, or finance.
  • Experience with high‑volume data entry, records management, and document processing in confidential, compliance‑focused environments.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and ability to learn new systems.
  • Experience with claims, case, or document management systems is an asset.
  • Post‑secondary education in office, business, claims, or legal administration is an asset.
  • Strong organizational and time‑management skills to handle multiple files and competing deadlines.
  • Exceptional attention to detail and accuracy.
  • Sound judgment and discretion with confidential information.
  • Professionalism, accountability, and commitment to service excellence.
